Manages event planning functions on a daily basis. Core area of responsibility is to maximize the value and benefit of conferences and meetings to the organization. Position oversees the administrative processes associated with the pre-event and post-event phases of an event and the associated transitions between all event phases. The position is responsible for achieving participant and employee satisfaction and for managing the financial/revenue/efficiency/performance of conferences and meetings.
- Planning and execution of a variety of meetings including the March of Dimes Headquarters Board meetings, committee meetings, training's, galas, dinners etc
- Oversee and manage the travel process (air, train, hotel) for all associated employees and others, as needed Research and secure event sites; plan and participate in site visits as necessary
- Develop and manage budgets to ensure revenue and expenses are kept within established parameters; review financial information for accuracy such as invoices for services, subcontractors, materials, etc

- Evaluate, negotiate and secure contracts for related services with vendors such as decorators, audio visual, signage, entertainment, etc
- Negotiate with various hotels and convention centers, florists, caterers and ground transportation services as required
- Work with committees and various staff to develop a program for events including, speakers, topics and timing Work with appropriate individuals and committees to develop and monitor timelines and deadlines related to all aspects of the events, while ensuring information is communicated with staff, volunteers, contractors and constituents
- Responsible for the oversight of shipping materials needed for the events and ensure materials arrive and return to their appropriate destinations promptly
- In conjunction with the finance department, manage the registration process for the National Convention
- Oversee travel and housing accommodations for various events, including but not limited to, National Convention, for staff, speakers, workshop participants, plenary session participants, ACT-SO participants, etc.;
- Prepare monthly reports regarding activities; update supervisor as requested
- Work in collaboration with Development Department and Programs Department to raise funds and execute planned March of Dimes events
- Lead the team to develop thoughtful project plans and align all business partners to meet deliverables for the all events.
- Provide direction for the teams, as well as creative input and oversight, for complex multi-channel integrated programs, overseeing the work to ensure project execution and delivery
- Demonstrate creative and strategic problem solving when challenges arise.
- Develop and establish strong relationships with peers, cross-functional business partners, team members and senior level associates – both in the home office and across the field.
- Perform any other duties, which may be assigned by the President/CEO, Chief of Staff, or the Chief Operating Officer

- Experience preparing and managing budgets
- Adept at contract negotiation with thorough knowledge of legal issues and contract language in the hospitality industry
- Experience managing multiple events outside of conventions – board meetings, training, special events, etc.
- Flexibility and ability to push through indecision and ambiguity to deliver results
- Ability to prioritize and balance numerous tasks with accuracy and speed and maintain composure under pressure
