This position supports the Sponsorship Technical Working Group (STWG) within International Programs and reports to the Senior Director, Sponsorship Programs. This is an exciting new position to help organize large amounts of information from 20+ sponsorship country offices and 40+ technical advisors supporting these programs. The ideal candidate will be interested in learning about how the five sponsorship core programs are delivered in country offices and supported by headquarter technical advisors. The position will support the following functions: general administration, general project management, translating sponsorship program information into marketable communication products, knowledge management and special projects as assigned.
This position will interact primarily with the Program Quality and Impact (PQI) team within International Programs and the technical advisors from the Departments of Education, Health, and Livelihoods, as well as with Country Office Sponsorship Managers and program leads with in SCI, SC members (Italy and Korea). The position will also interace daily with the Global Sponsorship Team, including global sponsorship operations and the marketing team within Resource Development.
Accountable for day-to-day execution of job responsibilities. Organizes self and manages time to complete tasks. May exercise independent judgment and discretion on operational matters related to specific tasks. Requires supervision to review work progress and results. Keeps manager informed of important issues. Builds effective relationships within their immediate or peer workgroup.
General Administration (15%)
Support the STWG’s administrative needs:
- Plan, prepare documentation, and arrange logistics for STWG quarterly team meetings.
- Notetaking at key meetings and dissemination of follow-up documentation.
- Support the Senior Director, Sponsorship Programs, and Sponsorship Monitoring, Evaluation and Learning Advisor, as well as other PQI staff, as needed with travel planning, submitting expenses and administrative needs.
- Work cross-functionally with Global Sponsorship Operations (GSO) staff to ensure that program planning and implementation supports country office, operational, marketing and financial planning
- Support recruitment of interns and consultants.
General Project Management (35%)
Under the supervision and guidance of the Senior Director of Sponsorship Programs, coordinate various processes within the STWG, such as:
- STWG quarterly meetings.
- Reviews of sponsorship annual plans and reports and the creation of dashboards and summaries.
- Organize and manage the sponsorship innovation fund process, including managing the proposal submission, review and award process and the mid-year and final reporting process.
- Planning, tracking and ensuring TA visits are complete and that trip reports are posted to the International Programs Trip Report Library
- Support Senior Director on the creation of the Technical Assistance Fund budget allocation process.
- Support the development of the program sessions for the Sponsorship Conference and other meetings.
Knowledge Management and communications (40%)
Take a lead role in sponsorship program communications and knowledge management:
- Organize and maintain program files, developing improved archiving systems on appropriate platforms
- Maintain OneNet sponsorship program site and represent sponsorship programs on the Sponsorship One Net working group; create and maintain new Sponsorship innovations and MEAL pages.
- Assist in archiving past evaluation, research and program cycle steps documents.
- Be the key bridge between programs and the marketing team, supporting efforts to “tell the sponsorship story” and how our programs are best-in-class.
- Support the finalization of communications and knowledge products for sponsorship programs.
- Maintain the STWG TA list
Complete Special Projects as Assigned (10%)
- Take on special projects by direction of supervisor as new sponsorship program initiatives are developed.
Required Qualifications
- A minimum 3-4 years' experience in area of expertise
- High School Degree required;
- Experience taking meeting notes; editing and proofreading communications that are disseminated to large numbers of recipients
- Experience and comfort with managing a large amount of information (concepts, ideas, proposals, content, etc.).
- Strong writing skills and the ability to extract targeted knowledge and learning from complex pragmatic content and create simple to use summaries and briefs for dissemination to appropriate audiences.
- Ability to summarize information for senior level stakeholders.
- Exceptional organization skills required and attention to detail needed.
- Ability to work with multiple stakeholders, including those remotely based, with intercultural communication skills preferred
- Fluent in Microsoft Office package
Preferred Qualifications
- International Development or non-profit experience, with exposure to education or health programs is an advantage
- Experience working in an international context or other overseas experience (work, study, other) preferred.
- Experience or exposure to communication or marketing projects involving graphic design, messaging, research, website management, project management, or donor communications.
- A creative eye with the ability to utilize global branding guidelines to create high impact products preferred.
