Our Austin Office has an excellent opportunity for a Temporary Mid-Market Administrative Associate. This position will work alongside five other Mid-Market support staff members and will be responsible for assisting with support for multiple remote-based Development directors and the implementation of 20 local fundraising events, including Heart Walk, Go Red for Women luncheon, Heart Ball, Vestido Rojo, and other health-awareness events in communities throughout Texas and Arkansas. The position serves to help local staff maximize fundraising and donor/volunteer relations, as well as facilitate the execution of high-quality events that meet both AHA standards and the vision of staff and local volunteers.
The position provides administrative and systems database support. Position interfaces with both staff and external donors and volunteers regularly, so a customer-service mindset is a must. Key responsibilities include detailed customer service, administrative and clerical support, data management and reporting. This is a temporary position expected to last until the end of March 2019 (end date subject to change).
- Entering data related to: donor contact information, auction items, table seating, and donations
- Calling guests for RSVP updates
- Calling donors for credit card payments
- Compiling and sending thank-you letters and paper receipts
- Creating and sending invoices for unpaid donors
- Assisting with post-event data clean-up
- Helping with miscellaneous projects involving mailing or compiling materials
- Ability to easily navigate Windows operating system
- Ability to quickly learn new and complex software - experience with Greater Giving or similar nonprofit fundraising software is preferred
- Ability to focus on a detailed, potentially tedious task for several hours
- Ability to follow detailed directions
- Commitment to complete and accurate data, as well as accurate spelling/grammar
- Basic Microsoft Word skills
- Able to provide excellent customer service while ensuring compliance with the American Heart Association’s policies and procedures.

- Office administration skills, including general clerical skills (e.g., basic computer knowledge, email etiquette, email organization, filing, typing, copying, telephone etiquette and office operations).
