Assistant Payroll Manager

Process semi-monthly payroll in a timely manner ensuring that payroll changes are in compliance with organization policies, Federal, State and/or local laws. Assist staff with questions relative to payroll processing and/or issues.

Areas of Responsibility: 
  • Reviews and ensures accurate and timely processing of hourly time sheets, garnishments, leave of absence, and other payroll data input.
  • Processes manual checks & payroll adjustments.
  • Reviews quarterly state and federal tax returns prepared by outside payroll service for accuracy.
  • Assists Payroll Manager in troubleshooting system functionality issues.
  • Assists Payroll Manager with W-2 preparation and other year-end tasks.
  • Assists in preparation of staff vacation accruals at year-end.
  • Provides assistance and information to employees regarding payroll-related matters.
  • Performs additional duties as assigned.

What you will be doing:

  • Support the end-to-end payroll process, which includes UltiPro for 800+ employees.
  • Assist in performing the semi-monthly payroll processing with minimal errors and maximum efficiency with achieving all deadlines.
  • Evaluate existing practices and procedures to ensure the most efficient approach to payroll processing. Make recommendations to the Payroll Manager.
  • Maintain service levels ensuring timely resolution of all requests.
  • Monitor federal, state, and local payroll tax issues to ensure that we comply with all laws.
  • Partner with other members of the HR department and compensation to ensure all electronic payroll data interfaces and/or reports are aligned and updated with other systems. (e.g. HRIS, timekeeping, benefit vendors, etc.).
  • Audits Payroll Previews before transmission for accuracy.
Educational Background: 
Bachelor’s degree preferred; 3-5 years of payroll processing experience
Skills/Experience: 
  • Experience in preparing payroll in a not-for-profit environment a plus
  • Knowledge of federal, state and local payroll regulations. Demonstrated knowledge of multi-state/multi-site payroll system(s), with knowledge of various state and local payroll taxes, required.
  • Knowledge of computerized payroll systems is required; prior experience with UltiPro (Ultimate Software) or similar HCM software & BI reporting a plus
  • Proficiency with Microsoft Office suite (Excel and Word)
