To provide support and assistance to the Business Partners –P&C ( Field and Colombo) to maintain good employee/employer relations in the assigned area of work.

Will be responsible to coordinate the People & Culture services and functions of the assigned area of work (Field / Colombo Office), supporting the HOD towards effectively achieving its strategic goal of creating a nurturing environment of trust and respect for its employees by sustaining and improving the management system in terms of the following: salary and benefits administration, P&C administration, service delivery and employee relations.

Areas of Responsibility: 

Policy Formulation and Communication Support

  • Assist to reviewing and updating current People and Culture practices & policies.
  • Engaging with the P&C Business partner for OD & change to prepare communication of policy and HR procedure changes to employees.
  • Assisting Business partner in performing research on new developments on HR practices.
  • Coordinating to ensure that all staff are within the parameters of cross-cultural and national limitations, all employment practices, compensation, employee benefits, and human resources programs are within the limits of established standards, procedures, guidelines, and policies of World Vision Lanka and the local labor laws
  • Ensure all staff compliance with policies together with the P&C team
  • Assist in development and distribution of all new, translated and approved policies to all employees

Employees provided with contracts in due manner Low level of legal and audit risk;Optimum use of Our People

  • Keep personnel files up to date, with minimum/no missing documents at all times,
  • Regularly monitor the check list and compliance of files with the check list
  • Maintain contact information of staff as well as their emergency contact details;
  • Ensure the proper maintenance of the system and accurate data at all times –including the training of self-service users (ESS/MSS)
  • Supervise the maintenance of leave records and leave utilization process as per the existing policies

Monthly Payroll is accurate

  • All information on payroll and benefits paymentis submitted accurately and on time through the HR Portal and manually.
  • Accurately process monthly Payroll
  • Evidence of verification done to ensure no discrepancies in HR Portal system and actual occurrence.

Exit procedures are adhered to and required stranded maintained

  • Execute all employee termination procedures including advising employees on their rights and any benefits they are entitled to.
  • Contract ends notified to Manager and employee on a timely basis
  • Assist managers on understanding WVL exit procedure and give assistance the exit clearance forms.
  • Conducts exit interviews and analyzes data to make recommendations to the management team for corrective and continuous improvement. OP separation is completed on time.

Other Responsibilities

  • Printing ID card and attend to Ex- staff matters and queries
  • Represent P&C Business partner in internal external meetings whenever required and provide appropriate follow up
  • Represent WVL in an appropriate and professional manner
  • Contribute to a healthy team spirit and team work
  • Adhere to WVL policy and standards and stay committed to WV vision statement and core values;
  • Perform other relevant tasks assigned by the direct supervisor.
Educational Background: 
Bachelor Degree in Human Resources/Management or related Professional Qualification in Human Resource Management
Skills/Experience: 
  • Must have at least two years of sound experience in Human Resources field, preferably implementing/facilitating level
  • Previous experience of work in an NGO context
  • Analytical and problem-solving orientation, good interpersonal skills
  • Detail orientation skills

  • Prioritization, planning and time management
  • Demonstration of courage in the face of challenges
  • Commitment to learning for transformation
  • Ability to maintain balance and effectiveness
  • Must have computer aptitude and word processing skills
  • Effective in written and oral communication in English and Local language
  • The position requires ability and willingness to travel domestically and internationally up to 20% of the time.
