The Special Events Coordinator is an enthusiastic, organized, self-motivated person with responsibilities for full implementation of two Walks to End Alzheimer’s events (Muskegon and Ludington), Coordinating and managing The Longest Day in 12 counties on the west side of the state. This position will be primarily focused on growing The Longest Day, while maintaining small growth within The Walk to End Alzheimer’s. This person will report directly to the Development Director.
Walk To End Alzheimer’s & The Longest Day: This person must be able to recruit, manage and partner directly with volunteers and colleagues to meet aggressive participant and sponsorship recruitment and fundraising goals, as well as manage the day of experience for all chapter Walks. Candidate must be able to exercise excellent judgment, accept responsibility, and give careful attention to details. Must be skilled in multiple software programs and be willing to learn and excel in donor software systems.
Event Leadership and Management
- Implement and execute a year round, chapter-wide strategic plan for Walk to End Alzheimer’s and The Longest Day.
- Proactively manage metrics reporting system, goal setting process, and donation records.
- Evaluate event success against projected goals and accomplishments, analyze results and make recommendations for course corrections.
- Actively seek opportunities to improve efficiency and quality of Walk Day experience.
- Work cooperatively and creatively with volunteers and staff to exceed fundraising goals.
- Implement and execute plan to recruit, retain, and motivate participants (individual walkers and team captains) to increase revenue
- Work in partnership with Executive Director and Chapter leaders to secure walk sponsorships.
- Serve as a liaison with National by communicating regularly and providing timely reports and attending Walk trainings.
- Work collaboratively with Communications Director to create a cohesive and strategic communications plan to maximize walk exposure.
- Work collaboratively with regional Program Coordinators to ensure full mission experience for volunteers, walkers, and sponsors on and leading up to Walk Day.
Volunteer Management
- Recruit, develop and manage volunteer leaders to plan and implement Walk; committee must include volunteers to manage logistic, team recruitment and engagement, sponsorship, and marketing aspects of the walk.
- Define clear and timely goals, objectives, and expectations to strategic volunteers and provide support, technical expertise, and resources when needed.
- Maintain positive communication and professional relationship with volunteers.
- Assist in the identification and cultivation of event volunteer leadership on a continual basis.
- Create a work environment that supports teamwork, collaboration and cooperation between volunteers, participants, sponsors, and staff departments
Supervision
- Supervise all activities, staff, and efforts related to Walk to End Alzheimer’s and The Longest Day.
- Responsible for recruiting, training, supporting and evaluating all event and program volunteers
- Define clear and timely goals, objectives, and expectations with assigned staff and provide support, resources, and technical expertise when needed
- Create a work environment that supports teamwork, collaboration and cooperation between volunteers, participants, sponsors, and staff.
- Strong project management skills including the ability to prioritize, coordinate and advance several projects simultaneously.
- Strong verbal, written communication and interpersonal skills
- Ability to diplomatically engage with a variety of personalities in a positive manner
- Ability to motivate, inspire and delegate work to Walk volunteers.
- Ability to work independently with little daily supervision.
- Ability to support and articulately promote the mission of the Alzheimer’s Association and our event fundraising strategies
- Excellent computer skills including Email, Word, Excel and PowerPoint.
- Ability to work a flexible schedule, including evening and early morning work as needed and Saturdays and Sundays throughout August, September, and October when Walks occur.
- Must possess a reliable personal vehicle, valid driver’s license and proof of valid insurance.
- Ability and willingness to travel as needed to conduct Chapter business.
- Must be able to lift, carry, transport, and setup a variety of materials (weighing up to 50 pounds)
Desired Requirements:
- Special event/fund development experience strongly preferred
- Sales experience
- Experience with Convio, Google Suite, and Microsoft Office
- Public speaking experience
- Proven relationship building skills
