Executive Assistant

The Executive Assistant is responsible for providing advanced administrative support to leadership including: managing meeting and travel calendar, planning travel, preparing documents for meetings with volunteers and sponsors, documenting financial activities, developing activity and informational reports, volunteer relationship management, completing logistics for meetings and work on projects as assigned.

Areas of Responsibility: 
  • Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; researching and compiling information and materials for meetings.
  • Actively participates in prospecting and cultivation efforts as part of the ongoing outreach and stewardship efforts. Prepares and completes critical aspects of stewardship including follow-up and acknowledgement letters, personal correspondence and other approaches to cultivating meaningful relationships
  • Manages a variety of complex and routine projects.
  • Facilitates cross-functional coordination and outreach to ensure effective alignment of division, affiliate and association-wide communication and strategic execution.
  • Prioritizes the success of the team through effective organization/planning and frequent, substantive discussions on work plans, strategic initiatives, skill development and performance. Serves as a resource for other members of the team.
  • Other duties as assigned.
Educational Background: 
High School Diploma or Equivalent, Bachelor's Degree preferred.
Skills/Experience: 
  • 5 years of experience providing administrative support to C-suite Executives, with demonstrated excellence in resourcefulness and organization/planning.
  • Experience in internal and external communications, partnership development/donor stewardship and fundraising.
  • Intermediate proficiency with Microsoft Office Applications: Excel, Word, PowerPoint, etc.
