The Global Process Manager, Facilities, (GPMF) is responsible for the strategic oversight of facilities related processes and technology. This role provides leadership to the facilities team members and partners to ensure a cutting-edge experience for the foundation.  They will be responsible for developing and managing processes and metrics that allow for continuous improvement of our operations. Under general direction of a Deputy Director, this position will build strong, mutually respectful partnerships with stakeholders, manages expectations, and ensures the appropriate level of communication for the audience. The GPMF uses well-developed judgment to understand business environment and needs, and shares foundation wide perspectives with the team.

Areas of Responsibility: 
  • Development, analysis and accurate reporting and forecasting of budgets.  Demonstrate the ability to interpret and explain results and variances
  • Capital Budget development and coordination with program managers/PM’s and program leads.
  • Ability to develop, analyze, and interpret project and operational budgets and requests for funding proposals
  • Represent the Foundation for real estate and lease management activities, specifically around lease renewals, lease negotiations, and new site feasibility assessment and initiation
  • Liaison between Facilities and Contracts Services, helping drive efficiencies as prioritization of in-progress work between teams
  • Develop and manage existing tools for facilities related processes and reporting including project management, facilities management, and space planning processes
  • Work with internal business groups, partners and vendors to develop and implement best in class facilities technology globally
  • Identify and implement facilities technology solutions, quality control, reporting tools, and metrics
  • Review of any new technology tools that come on the market to determine their relevance or applicability to our business
  • Lead and participate in project management and analysis functions across operations teams
  • Develop strategic management and oversight of the facilities experience
  • Define and manage the continuous review and improvement of facilities systems processes and procedures to drive efficiencies and enhanced user experience
  • Work across functions to ensure operational alignment

Internal and External Contacts:

  • Interacts with internal and external partners on significant matters, often requiring coordination between functions/organizations. May manage the work of vendors to complete project objectives. Relationship management is as critical to the success of this role as is the management of the activities needed to complete tasks and projects.  The person must be able to manage relationships in a matrixed environment and tailor his/her communication and engagement as appropriate to the audience and situation.
  • The GPMF earns the trust and confidence of colleagues to establish the influence necessary for success in this role. 

Problem Solving:

  • Problems are somewhat complex. GPMF may need to determine how best to complete a project objective given some resource constraints. Role should be able to analyze data, stakeholder input, and other information to solve for a given problem.
Educational Background: 
Bachelor's degree required, preferably in Business, Finance, Analytics, project management, or facilities management
Skills/Experience: 
  • A minimum 5 years of experience in facilities management and/or technology management
  • Business Knowledge - Understands the business benefits of operational processes and the linkage between program goals and organizational strategy and drivers.

  • Real Estate & Lease Acumen
  • Experience in budgeting and financial oversight
  • Expertise in MS office, SharePoint, Visio, Tableau
  • Experience providing support in a fast-moving organization, preferably on a technology or facilities team
  • Demonstrated ability to work with flexibility, efficiency and diplomacy both individually and as part of a team effort
  • Ability to exhibit a high level of customer service while multitasking and working on multiple projects
  • Excellent oral and written communication skills in an environment requiring diplomacy and judgment in managing interactions with individuals at all levels both inside and outside of the foundation
  • Demonstrated effectiveness meeting deadlines in a role requiring continual attention to detail
  • Experience establishing organizational systems to improve efficiency and functioning in a changing environment
  • This role is responsible for high-quality interactions and clear and consistent communications with operations partners
  • Ability to travel 5-10%
