To provide support in the Finance function of WV Swaziland ministry so as to yield positive contributions towards the attainment of the organization’s vision and Child Well-being Outcomes. This will be done through;
- Effective and efficient resources by ensuring compliance to WVI standards.
- Maintenance of the financial accounting systems ( MyPBAS, Sun system, Horizon, etc) to ensure financial accounting and reporting integrity.
- Promote stewardship, accountability and reporting
- The communication of World Vision's Christian ethos and a demonstration/modeling of a quality of spiritual life that is exemplary to others.
Areas of Responsibility:
Financial planning, accounting and management
- Reconcile Budget commitments with World Vision Global Centre and Support Offices figures. Ensure that confirmed funding is followed up to agree with the current approved budget figures.
- Facilitate budget monitoring by checking for funds availability in MYPBAS against annual budget vs actual expenditure and budget approvals. Ensure prompt resolution of all reconciling items on the funding reconciliation account.
- To assist in providing the budget owners and senior management with variance analysis of budgets and actual so that management can control and monitor budget spending.
- Review of payment requisitions for supporting documentation as per world vision policy.
- Review of payments for proper coding, arithmetic, budget availability and approvals.
- Prepare monthly reconciliations and journal entries for the balance sheet accounts and provide a listing of the balances and their trend analysis. Review, validate and post sun system transactions on a daily basis to facilitate timely information and reporting.
- To assist in performing account allocation of balance sheet accounts to match transactions in the ledger
- Monitor the activities of the cash office by providing an oversight role for cash counts and daily cash reconciliations.
- Consolidate, upload and reconcile all advance payments.
- Perform reconciliation of all payroll and statutory accounts.
- Facilitate the external and internal audits of the National office by providing all the required documents.
- Participate and provide input in the monthly financial report reviews.
- Provide technical financial support and capacity building for all stakeholders including non-finance staff on matters relating to payments and the required documentation.
- Participate in the preparation of annual reports.
Promote stewardship, accountability and reporting (Financial Close)
- Recommend and implement processes, models, systems and procedures that will enhance corporate wide stewardship, accountability, asset security/preservation and reporting
- Ensure the timely submission and input in FFR Database, of accurate , complete and relevant financial reports for different stakeholders in and outside WV ministry
- Ensure compliance with WVI Finance Manual and other policies, WVI’s year-end procedures, Carryforward processes and protocols
Financial accounting system administration and maintenance
- Assist in the financial system maintenance and accounting codes administration to ensure financial and reporting integrity .
- Assist in the implementation of new accounting and related systems and upgrade of existing systems.
- To assist in creating new accounts (funds or programs) in the system in accordance with the WV guidelines.
- Responsible to delete inactive unrestricted accounts or restricted gift accounts for which the gift has been expended.
Leadership Development & Capacity Building
- Support the implementation of the finance and Support Services turn-around strategy.
- Participate in relevant WV Swaziland and Global Capacity Building Initiatives
Other duties
- Perform any other duties as assigned by the Country Program Director (CPD) and Finance and Support Services Manager.
- Support the Emergency Response Unit as and when required.
Educational Background:
A minimum university Bachelor’s degree, with a major in Accounting/Finance/Auditing and partial professional qualification in ACCA, CIMA will be an added advantage.
Skills/Experience:
- A minimum of five (5) years’ post qualification experience.
- A Registered Accountant with a recognised profession accountancy body ( e.g. Swaziland Institute of Accountants)
- Extensive Computer knowledge in Microsoft Excel, Vision Excel, Word, PowerPoint, SUN Accounting.
- Analytical mind and sound business acumen.
- Must have proven knowledge of International Financial Reporting Standards (IFRS), Internal Accounting Standards (IAS) and Internal Control Procedures.
- Good communication skills - Written and Oral Communication skills are essential,
- Incumbent must be a team builder, who is able to work successfully in a multicultural environment and develop strong working relationship.
- A keen eye for detail and desire to probe further into data
- Deadline –oriented and ability to stick to time constraints
- A high level of integrity is required.
