The Administration and Operations Coordinator supports effective operations across the response through the smooth implementation of policies, procedures, and systems.

Areas of Responsibility: 
  • Assist in providing input to the Puerto Rico response team’s operations and finance operational plan.
  • Assist in developing short-term plans and organizing resources to achieve results.
  • Track and administer terms of all contracts, including monitoring termination dates and proactive management of automatic renewal dates, as applicable.
  • Monitor and coordinate the mitigation of facilities issues.
  • Set up and maintain utilities and other facilities service contracts. Serve as administrative point of contact for the team to our service providers.
  • Manage fleet assets, to include scheduling, ensuring preventative and restorative maintenance, and optimization of fleet size to ensure programs are able to deliver on program plans in a safe manner.
  • Maintain Warehouse Inventory document, verify SRF and GRN documents prior to entering them into the Warehouse Inventory, and ensure 100% accountability of all assets.
  • Track assets via Asset Tracker and conduct periodic inventory events, in accordance with SCUS policies.
  • Maintain proper levels of stock for office and cleaning supplies.
  • Serve as travel coordinator, providing flight, hotel, vehicle, and transportation support for all Puerto Rico staff and visitors.
  • Conduct mailroom operations, including collecting and distributing mail from the local Post Office box to respective staff.
  • Coordinate venue, catering, and other logistics support, in support of team events.
  • Provide overall administrative support to the Puerto Rico team, as necessary.
Educational Background: 
High School or Technical/Vocational Degree
Skills/Experience: 
  • You have a minimum 2-3 years experience in area of expertise
  • You have learned knowledge and technical skills to support semi-complex tasks
  • You have a professional level of specialized knowledge, technical/functional skills and attention to detail to manage complex tasks, programs or projects
