In this key role, you will be part of a team responsible for the research of meeting facilities and will negotiate contracts with hotels and vendors to obtain the most cost-effective and suitable accommodations for off-site meetings. Additionally you will prepare and arrange logistics for scientific and corporate meetings as well as enforce meeting standards, policies and procedures for all meetings. In some cases you will provide on-site management of meetings and events as needed.

Areas of Responsibility: 
  • Site Inspections (If Applicable).
  • Manage the Timelines
  • Hotel Management
  • Review & Execute Contracts
  • Establish Credit and Pay Deposits
  • Review Room Blocks and Understand Cutoff Dates
  • Review Meeting Space
  • Financial Management including Working Budget and Negotiated Savings
  • Review Specifications with Client
  • Arrange Audio Visual Needs
  • Meeting Room Setups
  • Meal Functions
  • Off Property Events
  • VIP Management
  • Send Specifications to the Hotel and work with the Hotel to execute them
  • Coordinate all aspects of an Off Property Function (If Applicable)
  • Manage all aspects of Ground Transportation (If Applicable)
  • Proof Hotel Resume & BEOs
  • Post Meeting Reconciliation
Skills/Experience: 
  • Knowledge of the principles and practices of meeting/convention planning and administration.
  • Ability to keep detailed records for coordination of meetings and their history.
  • Knowledge of meeting planning technology.
  • Strong organizational skills needed for multiple meetings management.
  • Ability to manage project time and workload efficiently.
  • Strong interpersonal skills with all levels of AHA staff and volunteer leadership.
  • Ability to negotiate contracts.
  • Excellent oral and written communications.
  • Ability to think logically and solve problems.
  • Ability to work in a team environment.
  • Ability to travel 20 - 30%.
  • Knowledge of software applications and basic accounting principles.
