The Coordinator provides administrative and programmatic support to the Associate Vice President of Public Policy and Advocacy and to the Department of Public Policy and Advocacy (PPA). S/he will: 1) assist the Associate Vice President in Departmental management, functioning, communication, information sharing, and culture; 2) coordinate and track the department budget and coordinate all other office operations for PPA; 3) support event planning efforts for annual Advocacy Summit and other advocacy-related events; 4) provide research and advocacy support on PPA policy and advocacy initiatives. S/he is accountable for the day-to-day execution of job, self-organized, and manages time well to get things done. S/he may exercise independent judgment and discretion on operational matters related to specific tasks. S/he requires minimal supervision to review work progress and results, and takes initiative to keep manager informed of important issues. Sh/e will perform other duties as necessary.
Provide general operational and administrative support to the department of Public Policy and Advocacy (35%).
- Coordinate and draft PPA’s annual goals, including the coordination of the creation of and tracking of metrics and targets; coordinate and track PPA budget; coordinate all logistics of departmental meetings, retreats, and other departmental logistics; update and manage PPA intranet page and other knowledge management platforms; collect quarterly data and draft quarterly reports; track internal deadlines and facilitate deadline management for the department and the Associate Vice President; serve as a resource and departmental liaison for all Save the Children internal systems and crosscutting departments including finance, branding, IT, and payroll; develop and maintain strong working relationships with staff in other departments, including HR, finance, operations, Office of the President, and SCAN; coordinate hiring of new staff and on-boarding processes; and manage office supplies and equipment.
Support the Associate Vice President (35%):
- Provide assistance to the Associate Vice President, Public Policy and Advocacy; support strategic planning projects; schedule meetings and appointments; maintain travel and business calendar; make travel arrangements; keep track of department- and agency-wide deadlines; file expense reports; manage invoices; and perform other duties as necessary.
Contribute to planning for major events including the annual Advocacy Summit (10%):
- Coordinate planning of major advocacy events including the Advocacy Summit; work with PPA staff to organize Congressional briefings; provide logistical support for meetings with internal and external partners hosted by Save the Children.
Manage the PPA intern program (10%):
- Screen, interview and hire department interns; onboard and supervise interns; work with interns to provide support on research projects; evaluate interns and department experience and recommend improvements.
Provide advocacy and other general support to the department (10%):
- Represent the department in internal and external coalitions and working groups; write and review advocacy materials as needed for the department; organize events; and support policy research and fundraising efforts as needed. Other duties as required to support the functioning and/or activities of the PPA department.
- 2-3 Years of relevant experience.
