The Grants Coordinator will support the Grants Manager in the day to day operations of an international grantmaking portfolio and program management. The Grants Coordinator is responsible for maintaining portions of the Grants Management Software and procedures supporting the suite of National Geographic Grant Programs and large scale projects and initiatives. S/he will work closely with the Grants and Programs teams to provide operational support to program staff and grantees including: funding notifications, collection and processing of all pre-payment requirements, tracking, review, and sharing of grantee and Society deliverables, liaising with internal teams to provide information and share grantee assets, data, and findings. The Grants and Projects Coordinator recognizes how well designed systems, rigorous attention to detail, and clear communication enhance the Society’s grant making and project management operations.

Areas of Responsibility: 

INTERNAL SUPPORT:  

  • Supports Grants Manager and Operations team to implement the full grantmaking portfolio for the Society including communication, administrative, and database support; act on funding decisions and notify grantseekers; share and collect required funding paperwork with a focus on document accuracy and procedure; work with Grants Manager on contract negotiations; collect and process all final report evaluation and financial accounting and distribute to relevant program staff; work closely with Program staff regarding grant deadlines and special circumstances; review and close-out active grants paying special attention to grantee requirements and deliverables; respond to or triage as appropriate grantee inquiries from shared email accounts including extensions, budget modifications, program adjustment, technical trouble shooting, etc.; act as liaison to the Impact Media and Explorers teams by fielding their queries, sharing updates on grantee report submissions, and representing the Grant Operations team; support other Grant Operations projects as needs arise. (60%)

DATABASE MAINTENANCE:  

  • Develop proficiency working with grants and project management tools; endeavour to improve, update and maintain the integrity of the project management tools and database by ensuring data entry is timely, complete, and accurate; sort and scrub data on a regular basis to maintain the integrity of the GMS; when necessary, manually file documents in the GMS and make edits as requested by Program Officers. (20%)

GRANTEE SUPPORT:

  • Receive and respond to applicant and grantee questions regarding both technical and programmatic issues related to required submissions and impact information and triage to appropriate staff; ensure that all necessary release agreements are submitted and linked in the GMS;  communicate with Payments Coordinator when required agreements have been provided;  poublish grant requirements in GMS and provide grantees with instructions for accessing the Grantee Portal and submitting requirements. (20%)
Educational Background: 
Bachelor's degree
Skills/Experience: 

Minimum Years and Type of Experience

  • 2+ years experience in administrative role with understanding of grantmaking, database architecture, and program support.

Knowledge and Skills Required

  • Strong administrative skills including exceptional organizational skills and a familiarity of grants management databases;
  • understanding of and commitment to NG program areas and mission;
  • strong knowledge of database management and direct experience with software such as Salesforce, FoundationConnect, GIFTS Alta or other comparable grants management systems required;
  • excellent verbal and written communication skills and experience successfully collaborating across distances using communications technology.  
  • Must be a self-guided, creative, highly organized, and motivated individual; comfort with ambiguity and the ability to work through issues in a changing environment; strong team player.
