Save the Children’s Health, Nutrition, HIV and WASH Global Theme (HNGT) provides a framework through which the 30 Save the Children Member countries and more than 90 Save the Children Country Offices align as a network to eliminate preventable deaths. The HNGT is responsible for:
- Establishing the organization’s health and nutrition strategic direction, policies and standards
- Forwarding the organization’s health and nutrition Common Approaches
- Enhancing health and nutrition related learning, knowledge sharing and communication across the organization
- Harmonizing the provision of health and nutrition technical assistance across the organization
The HNGT is seeking an Operations Senior Coordinator to serve as the team’s primary point person with respect to ensuring the efficient functioning of the HNGT team through the provision and/or coordination of administrative and operational backstopping. This position will require up to 15% total LOE on travel.
Provide dedicated administrative support/executive assistance to the HNGT Director (10%)
- Be available to support the Director with work scheduling, specific tasks and travel arrangements.
- Hold an overview of the calendar and work schedules of the both the Director and Deputy Director and support the communication and interlinkage of both.
Provide general administrative and operational support to both DC and London offices (25%)
- Accountable for holding an overview of the HNGT core team’s week-to-week work schedule and execution of tasks. Keeps manager informed of important issues.
- Assist with the recruitment and orientation of new team members and internship candidates, ensure consistency with agency rules and regulations and support on boarding of team members.
- Coordinate with the award and finance officer, and liaise with IT, Payroll, Department of Global Health, International Programs or HR departments on behalf of HNGT staff when required.
- Coordinates and assists with the team travel as needed, including scheduling traveler’s visits, and associated meetings when requested.
- Hold and update relevant HNGT Calendars.
Ensure efficient scheduling and communication among team members (30%)
- Schedule regular team meetings and ad hoc meetings where necessary. Facilitate development of agendas prior to each meeting and ensure meeting proceedings are documented and disseminated in a timely fashion.
- Ensure that meeting technology is functional and in place prior to scheduled meeting times
- Monitor the HNGT mail account. Ensure timely, quality response to emails and channel specific requests to the appropriate stakeholders, in and outside of the HNGT core team.
- Review, update and maintain the Health and Nutrition directory and associated distribution lists.
- Support engagement of HNGT core team in the use and profiling of Workplace groups (HN Global Community, sub-theme and cross-cutting group).
- Maintain the team’s One Drive space for centralization of core team documentation
Support to HNGT events and meetings (25%)
- Provide support and coordination to global events and key HNGT meetings, to be prioritized in conjunction with HNGT core team members. To include HNGT-led global events, Steering Group and HNGT strategy groups face-to-face meetings.
- Lead on administrative and logistical support prior to and during events and meetings.
- Develop, manage and maintain event budgets.
- Where necessary, coordinate with regional and country Save the Children colleagues to facilitate booking of events venues, hotels and participate in visa applications
- Support all communications surrounding events to participants and the Save the Children organization.
Provide Backstopping and support to specific project related tasks (10%)
- Provide tailored assistance to Communications, Advocacy, Knowledge Management (KM) and Monitoring Evaluation Accountability and Learning (MEAL) projects such as supporting on tools and template development for Common Approaches.
- Represent the HN Global Theme in cross-agency admin/operations coordination groups.
Required Qualifications
- Minimum 3-4 years’ experience required
- Requires learned knowledge, technical skills and attention to detail to support semi-complex tasks
- Excellent written and oral communication skills
- Demonstrated proficiency in the use of Microsoft Office and SharePoint, Outlook 360
- Ability to work across cultures and as part of a geographically dispersed team
- Ability to work with, and communicate with, programmatic professionals across the movement
Preferred Qualifications
- A Bachelor’s or Master’s degree in related area (communications, monitoring & evaluating, global health, international development, etc.)
- Interest in public health and nutrition or a related field
- Experience with or within low-income countries
- A second spoken language, e.g. French, Spanish or Arabic
