The Associate Director of Events will support Resource Development’s Centennial and high-level events in support of agency priorities and strategy. S/he will be responsible for all aspects of signature events including logistics, operations, budgeting, financial analysis, scheduling, and outsourcing to maximize fundraising potential. Events will range from high-level VIP events to large-scale fundraisers including supporting two Centennial Galas of 500-1,000+ guests each in 2019. His/her primary internal constituents are the agency's Senior Leadership Team, centennial committee, lead fundraisers and external constituents (donors, celebrities, business leaders, media "stars"). In this position, the Associate Director helps to deliver branded, signature events that require collaboration locally within the Fairfield and DC offices, globally across the SC movement and with outsourced consultants and vendors.
High-Level and Centennial Events (40%)
- Establish clear and consistent communication with centennial team
- Monitor event calendar in close coordination with the brand and marketing team to encompass RD high-level and centennial events.
- Help ensure synergies and continuity in messaging throughout all events
- Work cross-functionally to ensure mutually agreed fundraising goals for each event and allocation to annual vs. centennial campaign targets
- Provide the necessary information into all consultant / vendor negotiations and agreements
- Manage all logistics including, but not limited to: day-to-day budget management, financial tracking and reporting, analysis, event trends/new technology, guest lists, and research to maximize guest experience and fundraising potential
- Help manage event committee(s), its goals and communications; manage and train internal event staff/volunteers as appropriate
- Provide event post-reports to senior leaders and the Individual Philanthropy Group so that all new individuals are transitioned to an appropriate solicitor
- Work cross-functionally to ensure proper acknowledgements, tax receipting and recognition are handled appropriately and within agency standards
2019 Centennial Galas (30%)
- Heavy coordination with west coast Event Manager, east coast Event Team, Centennial Campaign Senior Director and committees for the 2019 LA and NY Centennial Galas, ensuring consistency in format and experience
- Financial tracking of revenue and expenditures in support of operational plans and budgets
- Work cross-functionally to ensure mutually agreed fundraising goals for each event and allocation to annual vs. centennial campaign targets
- Provide the necessary information into all consultant / vendor negotiations and agreements
- Manage all logistics including, but not limited to: day-to-day budget management, financial tracking and reporting, analysis, event trends/new technology, guest lists and research to maximize guest experience and fundraising potential
- Work cross-functionally to ensure proper acknowledgements, tax receipting and recognition
- Help to manage the Gala committee(s), its goals and communications; manage and train internal event staff/volunteers as appropriate
- Provide event post-reports to senior leaders and the Individual Philanthropy Group so that all new individuals are transitioned to an appropriate solicitor
- Research and analytics of past donor support and revenue projections
Other Event and Campaign Support (30%)
- Support the 2018 Gala as lead-up to 2019 Galas
- Support the Events Team in other projects as needed
- Perform other duties as may be assigned
- Minimum 5-7 years' experience in event industry
- Proven ability to build strong working relationships with a variety of constituents, both internally and externally, including senior leadership and high-level individuals
- Strong organizational and detail skills, project management and management of multiple and shifting priorities without compromising quality
- Ability to maintain professional demeanor during high pressure environments
- A high level of integrity and a strong work ethic
- Excellent computer skills including in Microsoft Office programs, event software and Donor Databases (i.e. BBEC)
- Ability to exercise independent judgment and discretion on significant matters related to functional area. Incumbent is provided with the "what", but is most likely to determine the "how"
