The SouthWest Affiliate Advocacy Coordinator, under the supervision of the Regional Vice President of Affiliate Grassroots Initiatives, provides project management services and administrative support for various programs and staff within the SouthWest Advocacy Team. He or she is a skilled project coordinator with experience in finance administration and possesses a strong interest in advocacy. They are located in our Affiliate Office in Austin, TX.

Areas of Responsibility: 

Finance Support

  • Process affiliate contracts, finance reports, as well as internal/external reporting documents.
  • Complete all expense reports for the Vice President of Government Relations, Regional Vice President of Local Policy Campaigns.
  • Manage the expense and contract approval processes.
  • Process all invoices for the Affiliate Advocacy Department.
  • Schedule any meetings and coordinate travel for department leaders as needed.
  • Support staff meetings and volunteer trainings including travel, meals and logistics.
  • Complete state and local lobbying reports in compliance with Texas Ethics Commission and city regulations.
  • Monitors, reviews and analyses expenditures in various Advocacy Department budgets. Provides consultants, supervisors and other department leaders with monthly budget updates and reports.
  • Responsible for identifying budget variances, errors, and anomalies. Works with senior management team to address and resolve budget problems.
  • Build operational processes to facilitate policy and compliance adherence.
  • Manage relationships with contracted vendors, collaborate with advocacy staff to monitor deliverable requirements are met by contracted vendors.
  • Manage Affiliate Advocacy SharePoint page and files on shared drive.

Advocacy Support

  • Support development of campaign materials such as presentations, fact sheets, assessments, and newsletters.
  • Conduct policy research for affiliate-based projects.
  • Schedule any meetings and coordinate all travel for Campaign team, as requested.
  • Identify opportunities to recruit volunteers and help execute engagement plan.
  • Support the development of online and offline advocacy efforts, including data entry.
  • Provide support for the You’re the Cure contact database management.
  • Help coordinate advocacy event logistics as needed.
  • Provide affiliate level data reports, including monitoring market level progress toward Gold Standard Board certification.
  • Support hiring and new staff onboarding process.
  • Other duties and responsibilities as assigned by the Regional Vice President of Grassroots Initiatives and Volunteer Engagement.
Educational Background: 
Bachelor's degree in communications, political science, public policy, law, journalism
Skills/Experience: 
  • 2 years relevant experience or an equivalent combination of education and experience
  • Ability to multi-task and work in a fast paced environment to meet daily, monthly and annual goals
  • High attention to detail and efficiency
  • Experience with project coordination
  • Experience with finance and/or expense management
  • Experience with social media and online/web communications
  • Ability to function independently with minimal supervision
  • Excellent written/oral communication skills, as well as demonstrated skills in consultation and meetings management
  • Knowledge of government processes, community groups and influencers
  • Ability to work in a team environment and interact with all levels of American Heart Association staff, volunteers and the public
  • Proven background and willingness to work in an atmosphere requiring flexibility and change
  • Ability to transport materials and other supplies to and from meetings and events
  • Ability to work in a fast-paced environment and, as needed, outside standard business hours
  • Ability to work evenings/weekends and travel when necessary
  • Expertise in creating documents in MS Office Suite
  • Must pass Criminal, Credit and DMV background checks
