The Operations & Logistics Manager is responsible for planning ideal transport routes, maintaining secure and orderly processes in the office, and overseeing the inbound/out-bound logistics and procurement of goods to/from the SCUS operations. In this fast paced and exciting area of our operations, the candidate will perform an important central role ensuring a smooth, efficient supply of supplies to our beneficiaries and in maintaining basic SCUS operational policy. They will work in close coordination with the operations and programs teams with all aspects of receiving, procurement, transportation and functional needs, ensuring business continuity is maintained.
- Assist in providing logistical and administrative support to the staff
- Exercise independent judgment and discretion on significant matters related to business continuity
- Require little or no supervision on routine work assignments, but may require supervision to review work progress and results on non-routine work assignments
- Assist with the maintenance and training on USP policies and procedures with new and existing staff
- Support staff to improve efficiency in pursuit of operational objectives
- Assist with office space planning and workspace coordination for office- and remotely-based staff.
- Plan, coordinate, and assign office space.
- Coordinate changes or repairs to work spaces and systems
- Responsible for tracking of the fleet
- Assist the procurement team as needed with ordering or fulfillment
- Review and process expenses, invoices, track expenditures and serve as a liaison with the finance teams for administrative budgets
- Duties and Responsibilities include, but are not limited to:
- Manage all distribution and transportation activities
- Maintain an orderly inventory and adhere to all Save the Children policies
- Keep track of quality, stock levels, delivery times, and transport costs
- Working across teams to move goods as per program team requirements, managing communication/control throughout the process, and ensuring all deadlines are met
- Work with the Deputy State Director to resolve issues between programs, events, inventory and distribution
- Identify, coordinate, communicate and implement event logistics across the network
- Perform other duties as assigned
- Draft communications and training for staff regarding new processes, procedures, and systems
- Collect success stories or other information as requested for reports and external communications
- Manage organizational charts to track assets, fleet, travel and vendor documentation
Required Qualifications
- A minimum of 3-5 years of logistics & transportation management required
- Advanced level skills using Microsoft Excel
- Extensive experience in rate database management, freight payable process, and freight claims processes
- Experience with ground transportation operations including DOT, OSHA and all related safety regulations
- Knowledge of distribution systems
- Knowledge of government regulations within the warehousing and transport industries
- Experience leading a team of staff or volunteers
- Ability to write reports and create tracking tools
- Create business correspondence and procedure manuals
- Ability to define problems, collect data, establish facts and draw valid conclusions
- Ability to work independently and handle multiple projects
- Ability to communicate effectively within a cross-functional team
- Experience procuring large quantities of items and managing relationships
- Experience managing a fleet of up to 20 drivers/vehicles
Preferred Qualifications
- A Bachelor’s degree in Business Administration, Logistics or Supply Chain preferred and/or 5-7 years of logistics management-transportation experience or in a similar role
- Capable of interacting effectively with all levels of personnel in a fast paced, just-in-time, delivery environment
- Knowledge of shipping, receiving or transportation preferred
- Solid, progressive experience in all aspects of logistics
- Ability to make sound decisions, multi-task and prioritize
