The Junior Officer, Planning & Support, will provide diversified operational and administrative support to the Grants Acquisition & management (GAM) team. Under the guidance of the Associate Director, the GAM Planning & Support Officer will proactively ensure results in the areas of : maintaining & managing the knowledge management systems/reports & process, providing administrative & logistical support to the team and monitor & analyze funding opportunities to support WVL Programs/projects.
As a core member of the WVL GAM team, the Planning & Support Officer will also have the opportunity to contribute to developing high-quality proposals, reports and research pieces in line with her/his career objectives. The position requires high attention to detail and flexibility to work with teams facing multiple and tight deadlines. This position requires outstanding organization, communication and interpersonal skills to ensure collaborations with diverse internal stakeholders.
Knowledge Management
Maintain internal knowledge management (KM) systems and reports with high-quality and accurate data for GAM
- Coordinate, prepare and update shared KM tools, such as Horizon, monthly management reports (MMRs), monthly grant tracker report, etc.
- Support KM processes to ensure accurate and high-quality information is captured in a timely manner
- Assist in developing and improving of templates and other standard work products related to grant acquisition data management
- Maintain filing system on shared network drive
- Generate internal KM reports/presentations for senior management, GAM department and project teams
Administrative & Operational Support
Effective coordination of department administrative and operational output requirements
- Drafting agendas, managing communications and overseeing logistical preparation for workshops, visits and field monitoring missions
- Communicating with relevant stakeholders to ensure timely and responsive engagement at key GAM events
- Drafting post-event reports and documentation of event outcomes
Business Development
Monitor and analyze funding opportunities and link them to existing programming needs and funding gaps
- Carry out periodic research on grant opportunities through online research of donor landscapes
- Build sufficient understanding of relevant stakeholder groups to contribute to identifying synergies and opportunities
- Assist the Associate Director in the development and documentation of standardized cross-functional business procedures and workflows for knowledge management functions
- Periodically contribute to departmental reflection, review and improvement activities
- One to three years’ experience working with development organizations in a similar role preferred
- Good IT skills & highly competent in the use of MS Office Suite (Word, Excel, Powerpoint)
- Strong organisational & planning skills with a responsive/customer focused attitude
- Understanding of not-for profit sector/fund raising/programming is desirable
- Prior experience working with Horizon/data management & Shared Service operations desirable
