Division Description: The Institute's Office of Institutional Advancement (OIA) is a central division focused on Institute-wide donor and prospect engagement. Areas of practice include principal and major gift fundraising, corporate and foundation relations, annual giving and membership programming through the Institute's Society of Fellows, planned giving, trustee engagement, major events, stewardship, research, gift accounting, and Advancement Communications.

Position Description: The Major Gifts Coordinator works in conjunction with the Executive Director, Strategic Engagement to manage fundraising operations, which include tracking donors and prospects in the CRM database, calendar management, recording interactions, and the internal and external coordination of ongoing cultivation and stewardship activities. Additional duties include direct donor and prospect interactions and strategic advising for the Executive Director, Strategic Engagement and Director of Major Gifts.

Essential Duties and Responsibilities:

  • CRM database management: Proactively support front-line relationship managers to assure high quality, systematic interactions with current donors and prospects. Includes tracking of actions and contacts, building custom lists for geographic and thematic opportunities, and designing reports to track activities.
  • Calendar management: Creating and maintaining a calendar of meetings (in-person and virtual), phone calls, and other interactions with donors and prospects for the Executive Director, Strategic Engagement and Director of Major Gifts. This includes direct interactions with donors, prospects, and their support teams to confirm the appointments.
  • Administrative support: Responsible for providing development support to the Executive Director, Strategic Engagement and Director of Major Gifts in managing calls and calendars, setting meetings, tracking deadlines, entering actions, and preparing reports.
  • Data analysis and database super user: Trainer-level mastery of database and systems, including research, entry, and report generation. High level mastery of constituent, cultivation and stewardship functions. Responsible for the management of gift acknowledgements, thank you notes, donor reports, bio creation, and donor recognition listings. Includes tracking of individual donors and prospects, revenue, and identifying trends and opportunities for growth.
  • Direct interactions with donors and prospects: Responsible for interactions with donors and prospects on a highly professional level, including answering inquires, returning phone calls, and scheduling meetings.
  • Strategic advising and assistance: Provide thoughtful direction for meetings, other projects & special requests related to strategic goals and growth.

Principal Interactions: Interacts routinely with colleagues in OIA, Communications, and the Office of the President & CEO; donors and prospects; and other Aspen Institute colleagues.

Knowledge, Education, and Experience:

  • Bachelor's degree, or higher
  • Passionate interest in current events, trends and ideas related to the Institute's work and mission.
  • At least 2-4 years of professional experience, preferably in membership or relationship management fields, experience with CRM database management.
  • Highly motivated, creative professional who can work comfortably in a high-paced and very detail-oriented team environment.
  • Keen sense of personal integrity and discretion with handling sensitive information
  • Excellent interpersonal skills and experience working with organizational leaders. Ability to represent the Institute to high-level donors in a positive, knowledgeable and professional manner.
  • Excellent administrative and organizational skills, with an emphasis on time-management and the ability to organize and implement various activities within a deadline-pressured environment.
  • Excellent writing skills in email, letters, and marketing, including high-level proofreading
  • Proficiency with Microsoft Office, including Outlook, Excel and Word, and Salesforce preferred
  • Ability to quickly master project management software
  • Ability to quickly master CRM database software
  • Ability to quickly master donor research databases and work with data to identify trends and opportunities

Level of Authority:

  • Non-supervisory position
