Impact Florida is seeking an Assistant Director of Communications to execute communication priorities across the organization and its multiple programs and strategic initiatives. Reporting to the Senior Director of Communications, this person will turn communications priorities into completed work. They will draft content, manage timelines, coordinate details, track next steps, and keep projects moving.

This role requires strong writing, careful attention to detail, excellent time management, and expert project management. The Assistant Director of Communications will support organizational communications, program communications, content creation, email marketing, social media, website content, webinar promotion, editorial planning, and more.

The right person for this role is organized, curious, reliable, and comfortable owning the details that help communications work move forward. They are a strong writer and careful project manager who can manage multiple workstreams, track deadlines and next steps, ask good questions, receive feedback, and know when something needs review. 

They care about both the quality of the work and the way the work gets done, bringing a high standard of care to writing, planning, execution, and follow-through. Over time, they should understand Impact Florida’s voice, programs, and audiences well enough to write strong first drafts of external-facing content, flag communications opportunities for review, and help strengthen the quality and consistency of the work.

Areas of Responsibility: 
  • Manage Impact Florida’s editorial calendar across email, social media, website content, webinars, reports, and program communications.
  • Support communications planning and execution across Impact Florida’s programs, including managing timelines, next steps, review processes, and deadlines across multiple communications projects using Asana.
  • Draft content for email, social media, website updates, blog posts, event promotion, one-pagers, reports, and other communications products.
  • Adapt content for different audiences, formats, and channels.
  • Create or adapt graphics and communications materials for social media, email, reports, presentations, and other communications products.
  • Coordinate with designers, web developers, communications contractors, program staff, and other partners as-needed to keep work moving.
  • Improve communications workflows and systems for planning, production, and impact measurement using Asana and HubSpot.
  • Manage email marketing execution in HubSpot, including list management, campaign setup, segmentation, performance tracking, and reporting.
  • Use website, email, social media, and HubSpot analytics to assess communications performance, identify patterns, and recommend tactical adjustments that strengthen future content and outreach.
  • Support program directors and leadership through the design and execution of webinar promotion and logistics for special projects, including Zoom setup, registration, reminders, follow-up emails, and related content.
  • Support special opportunities, such as invited keynotes or sessions, with presentation and logistical support (i.e. branded swag, internal communications, etc).
  • Use Adobe Creative Cloud and Canva when appropriate, and coordinate with designers or vendors when projects require more advanced support.
Educational Background: 
Bachelor’s degree in communications, marketing, journalism, public relations, or a related field, or equivalent work experience in communications, marketing, journalism, or public relations.
Skills/Experience: 
  • 5 to 7 years of experience in a professional role doing communications, marketing, public relations, or a closely related field; nonprofit experience preferred.
  • Excellent writing and editing skills, with experience writing for busy decision makers and professional audiences.
  • Strong attention to detail and a proven ability to manage deadlines, next steps, review cycles, and competing priorities without frequent reminders.
  • Experience managing communications projects, timelines, editorial calendars, and multiple workstreams.
  • Experience creating content for email marketing, social media, websites, blogs, campaigns, or similar communications channels.
  • Experience managing email lists, campaign analytics, or audience segmentation.
  • Experience working with CRM and project management software (Asana and HubSpot preferred).
  • Strong proficiency with AI tools such as ChatGPT or Claude, including the ability to use AI thoughtfully and edit its output with strong judgment.
  • Fluency with Adobe Creative Cloud and Canva.
  • Comfort learning new tools and solving problems independently.
  • Ability to work well on a fully remote team.
  • Commitment to Impact Florida’s mission and values, with an understanding of the education landscape in Florida and nationally.

Preferred qualifications

  • Experience in K-12 education, education policy, philanthropy, or another field connected to systems change.
  • HubSpot or Asana (or other project management software) certifications.
  • Experience creating communications materials for policymakers, funders, district leaders, or other senior decision makers.
Compensation/Benefits: 

Impact Florida offers a competitive salary commensurate with experience. The salary range for this position is $80,000 to $90,000. New hires are typically hired between the range minimum and the salary range midpoint, depending on qualifications, and the budgeted amount for the role. Impact Florida offers a comprehensive benefits plan and covers 100% of the employee premium for the base medical plan. Other benefits include dental and vision plans, life insurance, unlimited vacation time, and a 401(k) plan with an employer match up to 5% of salary.

Location and travel

Impact Florida operates as a fully remote organization. Candidates from anywhere in the United States will be considered. This role requires occasional travel, approximately 10% across the year, including program convenings, team retreats, and opportunities to see Impact Florida’s work in action.
