Job Description Summary
This position is a member of the Gloria Larson Center for Women and Business (CWB) and Executive Education (EE) team within Bentley University. Our Program Managers coordinate project and client-relationship management for corporate education programs/partnerships. Bentley's CWB and EE design and deliver innovative and transformative programs, training, and tools that help inform and empower participants to make meaning, positive change within their organizations.

This position manages administrative processes to the Center for Women and Business and Executive Education. This position provides administrative and technical support to the assigned manager and the entire department. Tasks will be very varied. Successful members of our team are team players, demonstrate flexibility, and an interest in DE&I work and/or in adult learning.

Essential Duties

  • Support the delivery of Custom and Open Enrollment corporate training sessions. Activities may include scheduling, registrations, room reservations, materials preparation.
  • Manage front desk operations and general office duties including facilities, and supplies. Manages calendars, arranges meetings, schedules appointments, and books travel as needed.
  • Maintain reception area and ensure that all office items and supplies are appropriately stocked.
  • Completes expense reports, special project payments, contract facilitator payments, and faculty honorariums.
  • Tracks registrations and payments for Open Enrollment programming. Issues invoices to Open Enrollment clients as needed.
  • Schedule and coordinate staff and other meetings
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence
  • Write and edit documents from letters to reports and instructional documents\\
  • Create and maintain filing systems, both electronic and physical including supporting the Business Operations with the Customer relationship management (CRM) system



Minimum Qualifications

  • HS Diploma or Equivalent and 4-6 years of experience in a similar role
  • Established computer/tech and social media skills (such as Word, Excel, Outlook, PowerPoint, Twitter, LinkedIn, and other social media).
  • Excellent teamwork, communications, and organizational skills required.



Work Environment

  • Typical office setting with extensive sitting and computer work
  • Ability to travel around campus for meetings and other work related events
