POSITION SUMMARY

The Simons Foundation Grants Assistant is responsible for providing administrative support for the Director, the Payments Team, the Grants Team and the Simons Award Management Team. The Grants Assistant will oversee the process of contacting grantees and their administrators to obtain required reporting for the department, and in this position, they must be well versed in Simons Foundation policies and procedures. The Grants Assistant must foster good working relationships, both internally and externally. The Grants Assistant will report to the Director of Grants Management.

This is a temporary position expected to last one year.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

  • Provides administrative and project-level support.
  • Supports the Grants Payment Manager in the payments process.
  • Assists with the carry forward deliverable reminder, submission, and review processes.
  • Responds to inquiries from grantees and institutional administrators.
  • Generates and prepares data for deliverable, portfolio analysis reports and other reports as needed.
  • Provides first-tier review of budgets, activations, financial statements and progress reports as needed.
  • Schedules and prepares meetings for the department.
  • Takes notes and documents key decisions during team meetings.
  • Oversees invoicing for the Department.
  • Assists Director with general tasks as assigned.
  • Manages Director's calendar.
  • Aids in updating program policies and processes managed at Process Street online.
  • Assists grants managers and the Simons Award Management team as needed.
  • Performs any other duties or tasks as assigned or required.



MINIMUM QUALIFICATIONS

Education

  • Bachelor's degree


Experience

  • 1-2 years of full-time administrative experience

  • Superb organizational skills, attention to detail and task follow-through
  • Excellent problem-solving skills and the ability to proactively anticipate needs
  • Superb interpersonal skills - must be able to work well with and adapt to diverse personalities and communication styles
  • Ability to prioritize, multitask and meet competing deadlines
  • Sound judgment and discretion
  • Knowledge of proposalCENTRAL or related award management system is a plus.
  • Eagerness to grow with the position as the organization's needs evolve
  • Enthusiasm for and the ability to easily adapt to change
