The Junior Accountant is responsible for all aspects of accounts payable and disbursements, maintaining the financial and accounting files, assists in all aspects of accounts receivable and receipts maintaining the collection logs and related files and assists with the monthly and quarterly close of accounting cycles.
Areas of Responsibility:
RESPONSIBILITIES:
- Responsible for timely payment of vendors.
- Reviews invoice and check requests to ensure proper coding and authorization, follows up with staff and vendors to resolve discrepancies.
- Prepares requests for recurring payments.
- Enters checks and disbursements into accounting system.
- Reconciles monthly expenses charged to corporate credit card account.
- Coordinates weekly check run and weekly running of AP aging report.
- Monitors status of unpaid invoices.
- Prepares weekly cash disbursements report.
- Prepares wire transfers as directed.
- Prepares monthly reconciliation of AP aging report to the general ledger.
- Opens vendor accounts.
- Researches and responds to vendor and staff inquiries on invoices and requests for payments.
- Sets up and maintains vendor files by fiscal year.
- Maintains lists and locations of all financial accounting files including storage location of archived files.
- Administers W-9/W-8 and 1099 forms for independent contractors and consultants.
- Maintains and dispenses petty cash.
- Performs other duties as assigned.
- Serves as back-up person for processing credit card purchases and placing orders for supplies.
- Assists the finance team for monthly, quarterly and yearly processes and compliance.
Skills/Experience:
Qualifications:
- Bachelor’s degree in accounting or related field required.
- Excellent written and oral communication skills a plus.
- Excellent interpersonal skills, the ability to work well under pressure and in a friendly and professional manner preferred.
- Detail-oriented and highly organized.
- Proficiency in the use of QuickBooks; Microsoft Office Suite (Excel, Outlook, Word) is required.
