POSITION SUMMARY

The HR Assistant will provide general administrative and project support for the Human Resources team. The assistant will serve as the HR point of contact for Simons Foundation processes, support HR events, provide research and analysis, and anticipate team needs. This position will report to the HR Manager, who will coordinate requests across the team and delegate responsibilities to HR Assistant.

This position is located onsite at our offices in New York City.

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

  • Lead contingent worker (including guest researcher and visitor) new hire details, onboarding, offboarding, and records management. Act as main point of contact for ongoing contingent worker questions.
  • Maintain, organize and regularly audit digital personnel files, HR documentation, job descriptions, vendor agreements, employee headshots, and shared folders such as Dropbox and Google Docs.
  • Update HR content on the foundation's intranet, SimonsNet.
  • Process HR-related vendor invoices in a timely manner.
  • Compile monthly expense reports for HR senior leadership.
  • Coordinate the annual HR budget process by liaising with HR managers and tracking information.
  • Manage logistics for all HR team meetings and events including organizing materials, coordinating calendars, overseeing catering and liaising with A/V. When appropriate, take meeting minutes and document the outcomes and action steps.
  • Support the Autism in the Workplace program through maintaining partner relationships such as university liaisons, communicating job postings, and tracking contact information.
  • Assist the Benefits and Talent teams with ad hoc and recurring events, such as career fairs, wellness events, and new hire workshops. Support temporary employee orientations when needed.
  • Support and suggest process improvements, event ideas, and/or HRIS system enhancements.
  • Perform HR-related research, special projects and data tracking on an ongoing or ad-hoc basis. These requests are often highly confidential and/or urgent.
  • Perform any other duties or tasks as assigned or required.


MINIMUM QUALIFICATIONS

Education

  • Bachelor's degree or equivalent experience


Experience

  • 1 - 2 years of progressively responsible administrative experience, preferably in HR or a related discipline.
  • Familiarity with and/or interest in HR principles and laws

COMPENSATION AND BENEFITS

  • The full-time annual compensation range for this position is $55,000 - 60,000, depending on experience.
