Position Title: Museum Operations Manager 

Pay Range:
$52,100 - $59,800

Mines takes into consideration a combination of candidate's education, training and experience as well as the position's scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.

 

The Opportunity:
Mines Museum of Earth Science, at the Colorado School of Mines, is seeking a dynamic Operations Manager with retail experience and a passion for working with people. As the right-hand person of the Museum Executive Director, the Operations Manager must be a self-starter comfortable leading multiple simultaneous projects and delegating a variety of duties to both student employees and volunteers. Excellent organizational skills and the ability to communicate clearly are required. Experience running a retail store or business, including inventory analysis, sales reporting, budget management, and product staging, is highly preferred. Responsibilities:
Provide support to the Museum Executive Director to manage and enhance all aspects of daily operations (100%). Responsibilities include managing the museum store, managing student employees, managing museum volunteers in conjunction with the Volunteer Coordinator, developing and implementing outreach activities and events, including museum tours, and conducting other general museum administrative duties including editing the website, social media, ordering supplies, and submitting work orders. Under the direction of the Executive Director, this position also provides support with other Museum-enhancing strategic initiatives as relevant.

1. Manage the Museum Store:

  • Holds primary responsibility for increasing the visibility, online presence, and revenue stream of the museum store and other museum sales activities. Related activities include but are not limited to marketing, maintaining online sales presence, shopping for new merchandise, staging the store, etc.
  • Oversee student employees and museum volunteers in retail space whose duties include: performing sales, teaching customer service techniques such as wrapping of purchases,interacting with customers, verifying the accuracy of financial transactions, end-of-day procedures, retail recordkeeping, inventorying, tracking, inspecting, and recording shipments and supplies, and restocking, price verification, arranging displays.
  • Manage all Museum deposits and ensure PCI compliance.
  • Maintain Point of Sale (POS) system.
  • Manage accounting and maintain financial records for all sales conducted by the Museum,
  • including the gift shop, Book, Mineral, and Fossil Sales, consignment sales, etc.


2. Manage student employees:

  • Recruit and hire, both paid and work study, student employees to run the welcome desk
  • and cash register.
  • Select and train student employee leaders.
  • Manage all student scheduling, communication, and conflict resolution.
  • Implement all student employee onboarding processes including, contracts, training, BlasterCard, and security access.


3. Manage Museum volunteers in conjunction with the Volunteer Coordinator:

  • Oversee all volunteer activity, including projects and schedules, with the assistance of the Volunteer Coordinator.
  • Facilitate volunteer communications through the Volunteer Coordinator.
  • Facilitate volunteer onboarding processes in conjunction with the Volunteer Coordinator.


4. Manage outreach and other events, tours, and Museum rentals:

  • Schedule paid tours for school groups, private organizations, and other relevant communities with intent to grow number of such groups annually.
  • Assist with planning and execution of museum special events and functions (e.g., Annual Open House, Spooktacular, Boy Scouts/Girl Scouts, etc.).
  • Promote Museum as a location for event/meeting rentals.
  • Manage all necessary documentation for Museum event rentals and schedule staff for all events and insure compliance with University legal policies regarding events/rentals.
  • Coordinate and track educational kits lent out to educators and speakers.


5. Conduct other museum administrative duties including:

  • Conducting museum opening and closing procedures.
  • Edit Museum website as needed.
  • Oversee social media posts (Facebook & Instagram) using various platforms such as Hootsuite and Canva.
  • Order/purchase office supplies and equipment.
  • Submit work orders as necessary for museum-related issues (e.g., maintenance, custodial,
  • etc.).
  • Manage accounts receivable/payable for museum expenses using campus systems.
  • Facilitate the tracking of all essential Museum statistics/metrics to support Museum growth initiatives including Museum visitors, tour groups, etc. with the help of student employees and volunteers.


6. Serve as right-hand person to the Executive Director by providing support with other Museum enhancing strategic initiatives such as program development, fundraising, grant writing, marketing, communications, exhibits design and preparation, and other projects.

  • Communicates regularly with Museum Executive Director as part of daily responsibilities. Communicates with other departments as necessary, including CCIT, Facilities, Human Resources, Parking Services, Campus Safety, Bursar's Office, Controller's Office, etc. regarding Museum matters. Communicates with student employees and volunteers at Museum. Occasional public communication as part of event planning, assessment, marketing and membership in University and public groups.


Education and Experience:

  • Bachelor's degree OR a minimum of 5 years relevant professional experience.


Knowledge, Skills, and Abilities:

  • Prior management of groups or teams.
  • Experience managing budgets and finances.

Education and Experience:

  • Bachelor's degree in relevant fields (e.g., business; finance; museum studies)
  • Earth science/geology classwork highly desirable


Knowledge, Skills, and Abilities:

  • Retail store experience, including inventory management and POS (point of sale systems).
  • Experience managing a variety of social media platforms.
  • Passion for rocks/minerals/fossils/gems.
  • K-12 outreach or teaching experience.
  • Experience working or volunteering at museums.
  • Experience developing and managing educational & outreach programs.
