LightHawk, a nonprofit conservation aviation organization operating throughout North America, is seeking a Conservation Flight & Volunteer Pilot Coordinator. This position provides logistical and technical flight coordination, manages volunteer pilot applicant review and onboarding, and provides CRM administrative support for our Conservation Programming.

The primary duties of the Conservation Flight & Volunteer Pilot Coordinator are to manage volunteer pilot applicant review and onboarding in conjunction with our strict compliance and pilot qualification guidelines; to coordinate all flight logistics  with our volunteer pilots and conservation partners; and, to secure, track and maintain all necessary administrative, safety, compliance and program related documentation required pre and post flight.  

This position necessitates working in partnership with a diversity of environmental conservation organizations from local watershed coalitions up to large national and international groups. This requires being broadly conversant in conservation issues. It also includes volunteer management, detailed planning, and excellent communication skills. 

Coordinators are responsible for providing our volunteer pilots and conservation partners with the highest level of customer service. 

Areas of Responsibility: 

Job Duties: 

Volunteer Pilot Intake and Onboarding

  • Work with volunteer pilot mentors and LightHawk staff to oversee new volunteer pilot applicant vetting and onboarding process 

  • Ensure all applicant materials and data are complete  accurate and meet our minimum requirements in our CRM including pilot license, medical, insurance, and associated aircraft details 

 

Flight Coordination and Volunteer Pilot Management

  • Set partners up to request flights and work with Program Managers to ensure that their subsequent requests meet LightHawk safety minimums and aim to result in achievable conservation outputs/outcomes

  • Recruit and assign appropriate volunteer pilots to meet flight objectives (consider aircraft type, ferrying distance, and any specialized needs as appropriate)

  • Coordinate and schedule flights with available volunteer pilots and conservation partners, ensuring all compliance related paperwork is complete and uploaded into our CRM

  • Serve as the point person for communication between partners, pilots, and LightHawk about flight updates, changes, etc. including weather or mechanical delays and rescheduling

  • Monitors the status of all planned flights and flights in progress on the day of the flight for the duration of the flight  from the point of origin to destination (flight following) 

  • Proactively collect post flight conservation data and enter it into the CRM for reporting purposes

  • Responsible for passenger logistics, ensuring that passengers’ data and paperwork and other conservation flight related requests are in order. 

  • Ensure safe, efficient, and regulatory compliant practices are followed. 

  • Track and report on pilot mission and flight hours

  • Duties associated with the Emergency Response Plan as assigned

  • Support Office/Event Manager with volunteer recruitment related event coordination

  • Other projects and activities, as assigned

 

Working Conditions: 

This position is 100% remote and dispatched from home. This position offers a rotating schedule with on-call responsibilities based upon the conservation flight calendar. 

Salary will be determined based on experience related to this position. 

Time Priority Allocation:

  • Volunteer Pilot Intake and Onboarding:  25%

  • Flight Coordination and Volunteer Pilot Management:  70%

  • Other:  5%

Educational Background: 
Bachelor’s degree, prefer a conservation focus or commensurate experience working in conservation
Skills/Experience: 

Requirements: 

  • Bachelor’s degree, prefer a conservation focus or commensurate experience working in conservation

  • A strong interest in LightHawk’s mission and methods, and a demonstrated passion for both conservation and aviation

  • 3 years project management experience

  • 3 years of experience in volunteer coordination and/or donor relations

  • Understanding of flight and aviation industry preferred

  • Commitment to conservation and environmental issues 

  • Willingness and aptitude to track work within a sophisticated CRM and Project Management system (training provided).

  • Must have the ability to work a flexible schedule. This includes evenings, weekends, and holidays. 

  • Work independently from home, requiring non-standard work hours and on call response. 

  • Meticulous organizational skills, ability to prioritize and be proactive. 

  • Superior written and verbal communication skills. 

  • Strong demonstrated interpersonal and management skills - a proactive “can-do” attitude, a professional and friendly presence in person and over the phone, a passion for getting the details right, and good follow-through on commitments.

  • Ability to work under pressure with minimal supervision. 

  • Flexible, able to deal with change. 

  • Strong attention to detail. 

Compensation/Benefits: 

FT Annual Salary Range:  $39,500-$53,400
