The Senior Associate, Executive Leadership & Learning (ELL) plays an integral role in the ELL team’s overall operations and success by providing critical and strategic administrative support. The Senior Vice President, ELL counts on you to keep her team and office running smoothly and efficiently. Her goals and priorities are reflected in her use of time each day, week, and month. You represent her, the ELL team, and the organization with thoughtfulness, integrity, and professionalism to all constituents, both internal and external. You possess outstanding poise and the ability to communicate on behalf of the team and SVP verbally and in writing to a variety of audiences, including Teach For America staff, board chairs, and other external partners. You demonstrate strong attention to detail, a highly-developed ability to anticipate and solve problems, strong organizational systems, a strong collaborative work ethic, and a customer service mindset. You’re motivated by the prospect of supporting someone in a high-level position and learning about the inner-workings of a major non-profit organization.
Direct support for the SVP, ELL (40%)
- Set the calendar strategy for the SVP in partnership with the Chief of Staff; working to ensure the SVP’s priorities are reflected in their calendar and the calendar is maintained meticulously and time is maximized.
- Book all travel in accordance with organizational per diems while also maximizing SVP time
- Process expense reports for the SVP in accordance with Teach For America’s finance policies
- Ensure the SVP is adequately prepared for internal and external meetings; including outreach to receive pre-work/agenda materials, drafting prep materials, and preparing briefs to maximize SVP time
- Write communications and draft meeting materials on behalf of the SVP, ensuring each communication is tailored given the audience and accurately channels the SVP voice, priorities, and perspective
- Maximize SVP time by managing up effectively. This may include creating and maintaining systems for information flow, regular engagement with team members, tracking task completion, and making recommendations on how to enhance the SVPs efficiency.
Executive Leadership Team Operational Support (25%)
- Draft, edit, and get approval on the weekly ELT blast communication. This may include making recommendations on the process used in creating communications and how to increase readership.
- Monitor ELT engagement via blast click rates and attendance on calls, making recommendations on how to increase engagement and make it as meaningful as possible.
- ELT conferences
- Manage all call operations for biweekly ELT calls. This includes saving the recording, tracking attendance, running the zoom videoconferencing platform, sharing any presentation materials on the screen, and logging the chat.
- One off projects and needs
Drives and participates in a variety of special projects to support ELL Team and SVP in reaching goals (20%)
- Support the logistics and execution of team events;
- Manage logistics and operations for all team culture hallmarks, including engagement strategies, celebrations,
- Work closely with the Office of the Chief Operating & Program Officer to develop, strengthen, and align strategies for operations and culture
Direct support for the VP, Executive Leadership Team Strategy and other team leaders (20%)
- Scheduling meetings and managing calendars
- Submitting and approving AmEx and expense reimbursements, ensuring compliance with organizational policies and taking fiscal responsibility for team resources
- Tracking spending for multiple team budgets
Prior Experience
- 2-3 years of professional work experience, ideally in an administrative or support function with a senior executive
Skills
- Ability to think critically and strategically and exhibit strong judgment while operating with a high level of organization, attention to detail and energy;
- Ability to work efficiently and with accuracy in a fast-paced, deadline-driven environment;
- Ability to handle multiple tasks at once with a spirit of flexibility, sense of possibility, and a strong customer service ethic;
- Effective and professional communication skills, especially in written correspondence.
- Knowledge of MS Outlook, Word, PowerPoint and Excel; in particular, familiarity with MS Outlook preferred.
Work Demands
- Ability to travel to in-person meetings in various U.S. cities [4-6 times a year].
