The Compassionate Friends provides highly personal comfort, hope, and support to every family experiencing the death of a son or a daughter, a brother or a sister, or a grandchild, and helps others better assist the grieving family. We are seeking a highly organized and proactive Part-Time Administrative Assistant to join our team and support our day-to-day operations.

Areas of Responsibility: 

Key Responsibilities:

  • Assist chapters with COI’s by processing requests and making sure certificates are shared with chapters in a timely manner. Twice a week minimum
  • Review and process all online donations, three times a week minimum
  • Process all deposits delivered by mail service in a timely manner
  • Review ACH deposits with Bookkeeper
  • Create reports based on incoming deposits and campaigns
  • Monthly, by the 5th, complete the reconciliation form and provide to DOO, CEO and Bookkeeper.
  • Manage communications with members such as thank you and acknowledgment letters, updates on requests, etc
  • Update the database with changes of address, new members, Volunteer classifications etc.
  • Manage the opening of new chapters
  • Serve as liaison with simple voting software utilized during board member elections annually
  • Manage the closing of chapters
  • Assist chapters with store orders. Invoice chapters as needed
  • Update all trackers accordingly.
  • Assist with website forms and update to chapter locator as needed
  • Annual conference support, both remotely and in person
  • Perform other administrative duties as assigned by management.
Educational Background: 
• Bachelor’s Degree
• Five or more years’ experience providing administrative support in a business setting, preferably in a non-profit
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Proficiency in Raisers Edge
• Excellent written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to work independently and manage multiple tasks efficiently.
