The Site Program Specialist is responsible for providing high-level customer service throughout the effective implementation of the volunteer and child enrollment and matching process. Responsible for enrolling and recruiting volunteers and youth, maintaining and fostering positive partner relationships, creating a strong sense of affiliation with partners and providing match support to ensure child safety and positive impacts for youth. The Site Program Specialist demonstrates a commitment to the Y in Central Maryland’s core values of Caring, Honesty, Respect, and Responsibility.
- Supervise, manage, and coordinate program planning and implementation with school partners
- Manages and develops positive relationship with school leadership while maintaining focus on and meeting job expectations
- Prepares data and narrative reports to meet monthly grant reporting requirements
- Maintains accurate registration, attendance, and schedule records
- Corresponds with marketing team, and develops marketing materials and social media presence on behalf of program
- Maintains an understanding and intimate knowledge of and ensures program compliance with Big Brothers Big Sisters of America standards of practice, Y quality standards, youth development practice, risk management protocols, and Mentor/Mentee match relationships
- Coordinates and conducts volunteer recruitment and orientation with business partners
- Recruits and appraises Mentors, including: interviews, individual or group training and orientation, and completion of any other enrollment processes. Effectively align volunteer interests and qualifications with service options of agency. Review and follow-up on references as needed.
- Allocates match support time, supporting volunteers on site as often as possible, as well as having telephone and electronic contact. Provide timely and comprehensive written summaries of all contacts.
- Recruits, supports, and appraises Mentees, including: including child interviews, child abuse prevention and enrollment processes or coordinate with volunteer school staff for completion.
- Collect appropriate paperwork, including child referrals and permission forms. Review all enrollment information and assessments and make recommendations for matches based on preference, expectation, need, and experience of volunteer, child, and parent. Coordinate matches with volunteer staff sites.
- Maintain accurate paperwork for each match according to Big Brothers Big Sisters at the Y in Central Maryland and Big Brothers Big Sisters of America standards and complete data entry.
- Provides counsel regarding closing of matches (if needed)
- Determines and utilizes varied communication styles to fit diverse audiences at the educational and corporate level
- Possesses and applies appropriate communication styles for youth across the child development spectrum
- Corresponds to challenges, or barriers at the site programs and determines proper handling of concern
- Attend and contribute to meetings with internal and external stakeholders
- Other related duties as assigned
Experience:
- Demonstrated experience working with both child and adult populations; relationship and partnership development; assessment, intake or interview skills; understanding of child development preferred.
- Marketing or sales experience.
- Experience working in outcomes-based, grant-funded youth programs
- Experience working with targeted population
- Knowledge of stages of youth development; familiarity with Developmental Assets preferred
- Knowledge of youth program quality standards, measures and instruments

- Excellent oral and written communication skills reflecting solid customer service
- Demonstrated ability to: form appropriate assessment-based relationships; relate well in multicultural environments; maintain confidentiality throughout daily operations; effectively collaborate with other volunteer match staff; use time effectively; and focus on details.
- Demonstrated ability to collect meaningful data and draw solid conclusions.
- Proficiency in computer skills including Microsoft Office Suite and G-Suite.
Salary: $35,000.00 - $40,000.00
