Reporting to the Director, Program Delivery and Impact, the Electronic Medical Records Specialist will serve as a subject matter expert for the clinical documentation and front office workflows within athenahealth and provide technical support and training to Ys launching and delivering evidence-based health programs. This individual will specialize in the clinical, registration, scheduling, and time of service money workflows used by new and existing staff at local YMCAs across the country. This position will work collaboratively with both national staff and local Y staff to train, support, and optimize clinical workflows within the athenahealth system, for efficiency and regulatory compliance.

Areas of Responsibility: 
  • Provides training and support to Ys running chronic disease programs by:
  • Assisting Ys in all aspects of their utilization of an electronic medical records (EMR) system, athenaNet, including registration, clinicals, and time of service money
  • Providing customer service support to local YMCA and YMCA of the USA staff with functions related to use of athenaNet and ancillary tools that support athenaNet
  • Auditing sites by quality spot checks and provide counsel to Ys upon each audit which ensures they meet performance standards and fidelity measures for the programs being delivered
  • Providing technical assistance to Ys around data entry and coding for services and finances to improve health outcomes
  • Supports local Y staff with EMR issues and answers questions related to clinical and front office workflows and processes, within the EMR system.
  • Conducts training in athenaNet and go-live support for new Y coaches and program coordinators in addition to serving as a resource to existing Y staff needing review/refresher training
  • Serves as the "go to" subject matter expert to resolve issues with clinical workflows, registration, scheduling, and time of service money in athenaNet– requires timely and succinct communication with end users
  • Serves as the subject matter expert to ensure Y-USA and local Y staff are properly supported and trained to use the EMR effectively
  • Conducts system audits to verify workflow compliance as warranted and tracks, monitors, and reports information related to systems utilization to Director, Program Delivery and Impact, and Sr. Director of Evidence Based Health Interventions
  • Partners with Y-USA’s Management Service Organization’s System Administrator and Business Analyst, as needed, to update local YMCA staff on changes within athenaNet, as well as regular updates to local Y data within athenaNet (e.g, user audits, department updates)
  • Works with local Ys to incorporate local learning into system utilization tools and improves resources that help Ys more effectively use the EMR
  • Keeps current with athenaNet technology and provides feedback and recommendations on the athenaNet system related to clinical and front office workflows.
Educational Background: 
Bachelor's Degree in Information Systems or related field of study or a minimum of 5 years direct work experience utilizing clinical systems workflows, system analysis and documentation preferably in a health care setting
Skills/Experience: 
  • Previous experience as an electronic health record (EHR) super user or trainer is required; athenahealth experience is preferred.
  • Experience training staff in health systems, hospitals, or physician offices, and an understanding of medical operations processes is required.
  • Experience coaching and mentoring, and providing assistance is required
  • Experience facilitating stakeholder groups to gather feedback for reporting direction and improvement is preferred
  • Demonstrated proficiency with Microsoft Office products (Outlook, Excel, Word, PowerPoint).
  • Demonstrated proficiency and understanding of clinical applications/workflows and system implementations.
  • Excellent communication (oral and written) skills including the ability to train others.
  • General understanding of the overall operations of a medical practice organization.
  • Multitask/project manage in a fast-paced changing environment – i.e. time/change management, priorities, ambiguity, adaptable and flexible).
  • Ability to effectively interface and build professional working relationships with all levels of employees – staff, senior leaders, and providers.
  • Customer focused – professional demeanor, positive attitude, service oriented.
Compensation/Benefits: 

Salary: $71,000.00 - $80,000.00
