Reports to: Executive Director
Employment Type: Full-Time Exempt; Monday-Friday, 9 a.m.-5 p.m.

Salary: $60,000 to $70,000

DUTIES AND RESPONSIBILITIES
The executive assistant performs a wide range of duties including, but not limited to, the following:
- Manage key administrative functions for the executive leadership team, including email correspondence for the Executive and Deputy Directors
- Provide calendar management for the executive leadership team, and assist in navigating competing priorities with regard to scheduling
- Regularly correspond with the Board of Directors on behalf of the Executive Director
- Provide note taking support for Board of Directors meetings and other gatherings, as necessary
- Support agenda creation in preparation for leadership team and other internal meetings
- Develop and implement administrative systems to streamline recurring activities of Executive Leadership
- Regularly communicate important and sensitive information to stakeholders while maintaining appropriate confidentiality
- Consistently utilize technology tools such as Google suite, Box, and Microsoft Office, and demonstrate comfort and ease in learning how to operate new technology tools
- Organize, structure and refine the operations of the executive department
- Other duties as assigned
ESSENTIAL FUNCTIONS
The Executive Assistant is responsible for efficiently managing administrative functions for the executive leadership team, including adept email handling for the Executive and Deputy Directors. Key responsibilities include expert calendar management, navigating scheduling priorities, and ensuring timely completion of deliverables through effective task management. The role involves regular communication with the Board of Directors on behalf of the Executive Director, creating agendas for meetings, and developing streamlined administrative systems. Maintaining confidentiality, the Executive Assistant will communicate important information to stakeholders and consistently utilize technology to enhance organizational operations.
EDUCATION, JOB KNOWLEDGE AND EXPERIENCE REQUIREMENTS
The ideal candidate should have:
- A Bachelor's degree in Business Administration, Management, or a related field
- 3 + years of experience as an executive assistant or related role.
- Experience working with executive-level management.
- Exceptional organizational and multitasking abilities.
- Ability to manage competing priorities and deadlines effectively.
- Excellent written and verbal communication skills.
- Ability to communicate professionally with internal and external stakeholders.
- Proficient in using Google Suite, Microsoft Office, and other relevant technology tools.
- Willingness and ability to adapt to new technology quickly.
- Demonstrated ability to handle confidential information.
- Maintain a high level of professionalism and integrity.
- Ability to work collaboratively within a team and across departments.
- Strong interpersonal skills and the ability to build positive relationships.
