The Position: We’re looking for an Intake Manager to be based in MLSA’s Helena or Billings office.

Areas of Responsibility: 

Specific Duties

  • Ensure that intake procedures are conducted in compliance with all MLSA regulations, processing guidelines, and grant requirements.
  • Assign and manage intake tasks and workflow to minimize backlog and improve response times.
  • Supervise Intake staff, including remote supervision of personnel in other MLSA offices.
  • Take shifts answering the HelpLine phones, processing online applications, conducting intake interviews with applicants for MLSA services, and participating as a Live Help Navigator for MontanaLawHelp.org.
  • Serve as the main point of contact for questions and issues related to intake procedures and intake staff.
  • Identify training needs, help create training materials, and participate in onboarding and ongoing training of staff.
  • Monitor trends and fluctuations in application volume and work with management to adjust intake processes as needed.
  • Identify and implement process improvements to improve the applicant/client experience and to increase job satisfaction for intake staff.
  • Organize and lead weekly intake staff meetings, and conduct, at minimum, two one-on-one check-in meetings with direct reports per month.
  • Participate in the development and testing of technology projects to streamline the application and referral process for MLSA clients.
  • Participate in MLSA statewide initiatives and community outreach activities.
  • Develop and maintain knowledge of legal and social service agencies for referrals and collaboration as needed.
  • Other duties as assigned by management.
Educational Background: 
Bachelor’s Degree or equivalent professional experience.
Skills/Experience: 

Required Skills & Attributes

  • Commitment to belonging, social justice, diversity, equity, and inclusion.
  • Supervisory experience, preferably in a non-profit and/or call center environment.
  • Willingness to travel in state (approximately 10-15% of the time) with occasional travel to out-of-state conferences.
  • Experience communicating calmly and effectively to clients and staff in a fast paced, high stress environment.
  • Ability to maintain client confidentiality as required by the Montana Rules of Professional Conduct.
  • Excellent communications skills (written and oral) and strong listening skills.
  • Values a collaborative problem-solving approach to difficult issues.
  • Skilled in the use of technology and the aptitude and desire to learn new systems.
  • A “can do” attitude and a willingness to pitch in where needed.

 

Preferred Skills & Attributes

  • Bachelor’s Degree or equivalent professional experience.
  • Experience supervising remote employees.
  • An understanding of the civil equal justice legal needs of low-income people, including the unique needs of populations that experience particular barriers to access to justice systems, and of effective approaches and methods for addressing those needs.
  • Experience working collaboratively and empathetically with diverse groups of colleagues and clients who have varying cultural backgrounds, perspectives, experience, and expertise.
Compensation/Benefits: 

We’re looking for an Intake Manager to be based in MLSA’s Helena or Billings office. The pay range is $55,000 and up, depending on experience.

  • MLSA offers company-paid health, dental, vision and life insurance; an educational loan repayment assistance program; a 403(b) retirement plan; and eligibility for a health reimbursement or health savings account.
  • We also offer a generous paid leave package, including annual, personal and sick leave, and a wellness leave program.
  • And if you move from another town in Montana to join us, we offer up to $500 for relocation reimbursement (or $1,000 if you move from out of state).
