The Development Coordinator plays a critical role in ensuring that the External Affairs (XA) team has the key data and internal systems to operate successfully, helping us to meet critical fundraising and regional goals. This role will manage the logistics of donor-focused school visits and assist with the planning and execution of other donor-facing external events (Auxiliary Board, annual benefit dinner, donor cultivation events, etc.). The Coordinator will lead team-wide data integrity, maintenance and reporting initiatives, and manage the gift processing system for all four streams of giving (individual, corporate, foundation, and public). In addition, this role will also serve as the project lead for the Collective Impact Circle (CIC) campaign, which matches current donors with our members, facilitating communication between the two groups throughout the year. Candidates considering this role should have an intrinsic attention to detail, organizational proficiency, knack for learning and building new systems, as well as keen desire to explore more efficient ways to work with the XA and broader regional team to optimize the use of our Salesforce.com constituent relationship management tool (“TFACT”), Cvent (event management software) and other technologies. An ideal candidate is able thrive in a fast-paced environment and easily navigate and provide support for multiple projects while maintaining an unwavering eye for accuracy and quality. The Coordinator will report directly to the Director, Events, Marketing, and Operations (DEMO).
Systems and Operations (40%)
- Manage the system for processing donor gifts and assist portfolio managers with sending gift acknowledgement letters
- Communicate with all development team members in order to ensure that all donations are followed up with appropriate tax acknowledgement information
- Support portfolio managers in gathering the most up-to-date information for our donors and prospects
- Create reports and dashboards within Teach For America’s internal constituent management database (TFACT) to assist the Team in tracking data and taking actions within their portfolios
- Serve as the XA Team's representative on "Team TFACT"
Events Operations Support (25%)
- Provide support to the Director, Events and XA team in managing vendor payments, event website creation, RSVP tracking, general event logistics, and donor solicitations for donor cultivation and engagement events throughout the year
- Manage the logistics of the annual Auxiliary Board bowling event
- Manage the planning and execution of 1-2 other Auxiliary Board fundraising and awareness events throughout the year
- Coordinate school visits throughout the year (averaging 1-2 per month)with various constituent groups - Auxiliary Board members, donors, and others
The Collective Impact Circle (15%)
The Collective Impact Circle is a program that engages both our donors and members (current corps members and alumni) in planned interactions throughout the year. With support from the Director, Events and Managing Director, Individual Giving, the Coordinator will serve as the primary staff lead in the execution of this program, responsibilities will include:
- With support from the D,EMO and MD, IG, own and execute the overall project plan
- Support with the planning and execution of 2-3 engagement events for this group during the year
- Coordinate school visits on an ongoing basis for donors in the CIC program
- Help to facilitate communication between the two constituent groups
- Draft written communications for those involved in the program (emails, newsletters, and event invitations)
- Track CIC program data and report out on progress to the XA team on a regular basis
Administrative Support (5%)
- Organize the logistics of team retreats, meetings, and social activities (including meeting space, technology, and internal communications)
- Assist with operations and logistics for quarterly Board of Directors meetings
- Order team supplies for mailings and meetings on an ongoing basis throughout the year (InstaCart, Amazon, stamps.com, etc.)
Team Responsibilities (5%)
- Prepare for and lead check ins with your manager around progress towards your goals and your ongoing development
- Prepare for and participate in XA team meetings and retreats
- Collaborate with and support your XA colleagues’ work and development
Collective Responsibility Regional Projects (10% of time)
- Make a direct impact on the organizational mission of enlisting, developing and mobilizing leaders to strengthen the movement for educational equity by participating in matriculation (up to six windows across the year), regional recruitment activity, member facing events (including Leadership Summits and Summer Training), our alumni giving campaign, alumni survey and other initiatives that impact our members and partners. All staff are expected to regularly engage in professional development programming, particularly development focused on diversity and inclusiveness. All-staff meetings, retreats, and step backs are also required.
Prior Experience
- 1-3 years of work experience preferred; previous experience in operations and project management highly preferred
