The Senior Associate, Regional Operations is at the heart of our region. This role is front and center as the person sitting at our reception desk, and also manages several projects that are at the foundation of our culture and critical to the support of our regional team.
The ideal candidate will have a passion for playing an active role in building and maintaining team culture, and a desire to create systems and tend to the details of office operations to create a great work environment for all staff. In addition, this role will play a part in executing aspects of people operations support.
Office Management (55%)
- Receive guests, vendors, and visitors at the front reception area, ensuring they feel welcome and have what they need
- Create and manage a system for ensuring office supplies are ordered and stocked appropriately
- Care for and maintain the office environment, including storage/supply rooms, kitchen, and common areas
- Communicate important facility/technology updates and information with office staff
- Work with the TFA national operations team to handle general office maintenance and troubleshooting requests, including but not limited to technology, office equipment, and office design
- Sort and deliver inbound mail and manage outbound mail pickups
- Support logistical requirements of meetings and events, including room scheduling, catering, and set up/tear down
- Work with outside groups to process requests to book space in the office and support logistics
Finance and Budgeting (20%)
- Process vendor payments, purchase orders, and reimbursements using TFA’s cloud-based expense processing software
- Work with TFA national finance team and regional staff to troubleshoot and follow-up on payment requests as needed
- Communicate with regional staff about payment requirements and processes
- Preparation of monthly team budget updates using TFA’s online financial platform
- Monitoring of non-payroll spending and support of monthly budget forecasting
- Work collaboratively with Chief of Staff to support yearly budget planning
Talent and Human Resources (15%)
- Codify and train on TFA hiring systems
- Manage hiring and recruitment in online data base, JobScience
- Support regional team in hiring processes and applicant management
Fulfilling our Mission through Organizational and Regional Priorities (10%)
- Attend regional retreats held throughout the year, monthly staff meetings, and occasional conferences and trainings
Prior Experience
- Minimum of five years’ experience in an administrative or operations role.
- Experience in budget tracking, expense reporting, and/or accounting.
- Experience with Workday or other expense management software preferred.
Work Demands
- Ability to work evenings and weekends on rare occasions.
- Travel: Local travel may be required on occasion.
