The Office Services Manager is responsible for facility services and activities in the Chicago Home Office and assisting remote offices as needed.  Areas of accountability include reception, incoming and outgoing mail, dock deliveries, large purchasing requests, space planning, and Office of the Building liaison.  Facility services include vendor relations with copier, fax, and snack providers. Responsible for arranging internal office moves and set up arrangements for office meetings in collaboration with IT for web-based and audio services.

Areas of Responsibility: 
  • Supervises and coordinates overall administrative activities for the Office Services Team.
  • Manages the reception area to ensure effective telephone and greeter responsibilities
  • Manages incoming and outgoing mail delivery; includes express and overnight.
  • Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of the office facilities.
  • Negotiates the purchase of office supplies and furniture, office equipment, etc.
  • Supervises the maintenance of office equipment, including copier, fax machine, etc.
  • Oversees the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.)
  • Participates, as needed, in special department projects.
  • Manage the tagging and inventory of all Association fixed assets.
Skills/Experience: 
  • Bachelor's degree or equivalent preferred.
  •  Five to seven years of previous experience in office management.
  • Working knowledge of mail processes such as postage machine, FedEx and UPS.
  • Previous experience in facilities management with building management desired.

  • Organized to keep track of multiple requests
  • Physical demands include frequent walking, standing, reaching, pulling, pushing and occasionally lifting office products and supplies up to 40 pounds.
  • May be required to work beyond a 7.5 work day and 37.5 work week with occasional weekends.
  • No travel is expected for this position.
