As a key member of the Executive team, provide oversight to Finance, Human Resources, Facilities and Security Departments for a high profile Museum with a budget in excess of $20M and assets over $100M. Represent the Museum to the highest standard and serve as the primary representative for all investment and banking relationships, insurance, audit and tax, property tax. This is a hands-on position requiring strong finance and accounting skills and experience.
Duties/Responsibilities:

Manage Finance Department and provide direct supervision to financial staff, including Controller and other financial staff.

Supervise Human Resource Manager and HR functions, with direct involvement as needed.

Supervise Security Director overseeing a department of approximately 30 staff providing 24/7 security.

Supervise Facilities Director and provide guidance on capital purchases and long-range planning.

Provide support and advice as needed for Executive Director and senior managers.

Provide ongoing financial reports as well as ad-hoc reports and present to a high-profile Board of Directors.

Liaison to the Audit & Finance Committees managing all audit requirements and generating all reports for the Finance Committee.

Directly responsible for managing the annual audit process and providing all necessary PBC reconciliations and information and reports required for tax returns.

Work with senior managers to develop and track annual budget, prepare financial forecasts.

Primary contact for Museum’s banking relationships, treasury management, and investment / endowment management functions.

Review and authorize (sign) checks and other disbursements of funds.

Research and perform banking transactions, including wire transfers and stop payments.

Conduct accounting for construction project and other restricted funds.

Manage the Museum’s accounting software (Sage 100)

Review and reconcile asset & liability accounts (security deposits, payroll, worker’s comp, prepaid expenses, etc.)

Preparation and analysis of financial statements (monthly, annual)

Prepare financial reports for Board and senior managers, and custom reports as required.

Oversight of accounting software, POS, payroll software, merchant card processing, etc.

Prepare monthly Shopify exports from Admissions and Retail for breakdown and entry by junior accounting staff.

Maintain and update the Chart of Accounts as required to track financial activity, including new and ongoing projects, grants and initiatives.

Oversee tenants and leases – negotiation, oversight, monitor compliance, invoice.

Oversee insurance and risk management function, including annual insurance renewals and process requests for insurance certificates.

Prepare daily/monthly metrics reports (admissions, membership, store sales, private event sales, etc.)

Review contracts with museum vendors, sponsors and donors.

Provide expertise as needed regarding fundraising compliance, regulations and tax deductibility.

Consult with museum staff on IT and infrastructure investments.

Participate in the strategic planning process for the Museum.
Required Skills/Abilities:

Minimum 7 - 10 years experience in managing finance and accounting for a nonprofit organization, experience in the museum field strongly preferred.

Experience working with all levels of staff, management, donors, vendors, and Board members

Ability to represent the Museum internally and externally in a professional demeanor

Exceptional written and verbal communication skills

Knowledgeable in the field of Human Resources

Other skills and experience that pertain to the various roles required to meet the position requirements

Ability to move from basic accounting to high-level analytics
Salary Range: $200,000.00 - $225,000.00
