The Sr. Fluxx Operations Manager is responsible for managing technical grantmaking operations and the administration of Fluxx, the Foundation’s grants management system. Reporting to the Operations Director, the Sr. Fluxx Operations Manager will be a member of the Philanthropy Operations team that carries out grantmaking operations, systems management, budget oversight, due diligence, and administration.

 

The Sr. Fluxx Operations Manager is the link between the Operations and Program teams and ensures the Program teams are positioned for success in their grantmaking. This position works closely with the Technical Systems Lead and Operations Specialist to provide direct services to internal and external stakeholders, execute grants management operations, and develop the evolution of Fluxx to meet the Foundation’s changing needs.

 

The ideal candidate for the Sr. Fluxx Operations Manager role has solid working experience as a Fluxx system administrator; and is a flexible individual with a strong customer service-oriented skill set who is comfortable working in a dynamic and evolving environment within a globally diverse setting. A solid history of collaboration within and across teams is essential, as well as demonstrating initiative and resourcefulness.

Areas of Responsibility: 
  • Continuously strive for the Foundation’s operational excellence with a focus on technical grantmaking operations and Fluxx system management.
  • Serve as the primary Fluxx system administrator managing the Foundation’s grants system, supporting internal and external stakeholders to effectively utilize the system to complete all aspects of the grant cycle.
  • Manage the standardization, build-out, customization, testing and validation of programs in Fluxx, working in close collaboration with Foundation staff and external contractors.
  • Successfully launch programs in Fluxx throughout the year, while managing deadlines and deliverables.
  • Collaborate with Program teams to gather program requirements and update programs in Fluxx throughout the year and during scheduled revision periods.
  • Triage and resolve incoming help desk tickets from internal (staff) and external (applicants, grantees, reviewers) stakeholders.
  • Investigate and solve Fluxx issues while collaborating with external contractors and Fluxx customer service to create effective solutions.
  • Perform Fluxx system maintenance, implementing improvements and updates in collaboration with the Technical Systems Lead. This includes continuous testing and data audits to maintain clean configuration, data integrity, and user experience; identifying opportunities to improve performance and user experience; redesigning and optimizing workflows; and building new templates, forms, and dynamic cards based on organizational priorities.
  • Ensure proper procedures in Fluxx are in place and followed by staff, assessing ways to streamline processes and workflows.
  • Maintain library of Fluxx processes, policies, and procedures working with the Technical Systems Lead and Operations Specialist.
  • Carry out hands-on Fluxx user training and produce self-serve training materials such as training videos and fact sheets, in collaboration with the Technical Systems Lead and Operations Specialist.
  • Build and deliver Excel grant data reports for ISOC and Foundation leadership as needed.
  • Provide regular status updates and escalate issues to the Operations Director.
  • Provide additional support for all programs and grantee community as needed.
  • Other duties as assigned
Skills/Experience: 
  • 7 to 10 years of total work experience which includes system administration and high proficiency in the use of cloud solutions, relational databases, form building, and data collection tools.
  • Experience in the internet space is considered a plus.
  • Experience working at a funder carrying out international grantmaking is preferred.
  • Ability to synthesize technical concepts into clear and easy to understand language in written and verbal communications.
  • Ability to perform and prioritize multiple tasks concurrently with an excellent attention to detail.
  • Knowledge and desire to stay current on new Fluxx features, training and development, grants management best practices, and Diversity, Equity, and Inclusion (DEI) principles applied to grantmaking.
  • Capacity to understand the perspective of applicants and provide user support as needed.
  • Proficiency in Microsoft Office, particularly Excel.
  • Demonstrated ability to work in a fast-paced multicultural environment with geographically diverse individuals.
  • Excellent interpersonal, written, and verbal communication skills in English is required. Spanish or French fluency is considered a plus.
  • Must communicate in a culturally appropriate and inclusive manner.
  • Ability to work collaboratively with a globally distributed team across multiple time zones.
  • Ability to travel occasionally.

Compensation/Benefits: 

Compensation and benefits for this position will be paid in local currency and based on the country and geographic location’s local salary and benefits market data for the position. Exact pay will be based on factors including but not limited to relevant qualifications, experience, geographic location, education, business and organizational needs.
