The ideal candidate will have the capacity to handle a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly detail oriented, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs. The candidate must have the ability to interact with staff, board, partners, funders and coalitions in a fast-paced environment, often under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism. Confidentiality is crucial to this role. Outstanding written and verbal communication skills, and strong decision-making ability are equally important. Importantly, this role requires the responsibility of daily utilization of online contact manager, cloud platform, project management systems and database.

Areas of Responsibility: 
  • Integrating, updating, maintaining, and enforcing human resource policies;
  • Conducting a deep analysis of human resource benefits and identification of high quality benefits; conducting an annual audit of these benefits to ensure cost effectiveness and quality
  • Managing technical systems (phone, CRM, mail, cloud platform), board communications, schedules, correspondence;
  • Managing and track HAF board communications, meeting logistics, and gatherings;
  • Leading the logistical arrangements of events, meetings, travel, and other activities;
  • Analysis of news, policy documents, and other key external material
  • Preparation of executive level materials and communications
  • Outreach to donors, HAF community networks including Latino faith leaders, congressional offices, and partners to schedule meetings, travel, events, and activities
  • Operating of Salesforce based CRM systems to clean up; segment data, manage, track, and report all HR and administrative systems
  • Writing, sharing, and archiving documents
  • Developing organizational manuals for technical systems, and human resources
  • Firm yet genuinely kind enforcement of organization-wide operational systems
  • Program level administrative support
  • Travel required
  • Supports CEO and team with special projects as needed - projects will require strong internal/external communications and problem-solving skills, creativity, a fast pace, partner engagement, and attention to detail
Educational Background: 
4-year degree
Skills/Experience: 
  • Bachelor's degree from an accredited university required
  • Intelligent, trustworthy, tech savvy person with high integrity and standards
  • Passionate about the building of equity, capacity, and power of Latino communities
  • Three years’ experience scheduling, events planning, events execution 
  • Excellent experience with Google platform, calendar management, drive and drive features
  • Excellent knowledge of MS Office, including Word, Excel, and PowerPoint
  • Experience scheduling travel arrangements
  • Proficiency in English and Spanish (English being most important with outstanding written and verbal skills)
  • Works well independently, as well as part of a team - outstanding work ethic
  • Adapts rapidly to new technologies such as CRM/Salesforce and contact management database software and able to serve as a key manager of the systems
  • Able to easily adapt to a growing and changing work environment
  • Works well independently and responsibility
  • Strong writing, analytical, and interpersonal communications skills
  • A strong understanding of faith based institutions and their organized structures
  • A strong understanding of federal and state government structures
  • Ability to manage communications with faith leaders and lay educators who serve Latino communities
  • Experience working with Latino communities, a good understanding of community needs
  • Outstanding people and negotiation skills
  • Experience successfully evaluating, creating and/or modifying processes
  • Outstanding English and Spanish written and oral communications capability
