Job Title: Legal Administrative Assistant
Context: Provides administrative and clerical support to the legal program
Scope: Working under general supervision, the Administrative Assistant is responsible for a variety of administrative and secretarial duties. The AA will also provide general office support as directed.
Job Activities:
- Performs administrative support and secretarial duties including, but not limited to:
- Word-processing letters, reports, documents, and correspondence.
- Photocopying and filing.
- Answering and screening telephone calls; retrieving messages from voice mail.
- Opening, routing and responding to correspondence.
- Making appointments, travel arrangements and maintaining files.
- Arranges for outside services (i.e., printing, repair of office equipment, etc.).
- Performs special projects and reports as requested.
- Pays bills and processes expense reports. Ensures timely submission of time reports by regional staff.
- Recruits and oversees the work of interns
- Maintains mailing lists/databases and processes office mail.
- Assists with mailings/faxes, etc.
- Performs miscellaneous duties as directed.
- Standard Overtime: This position may occasionally require overtime for unanticipated events and will rarely exceed 5 hours a month in those instances.
Knowledge & Skills:
- Good written and oral communication skills
- 1-2 years general office experience
- Excellent word processing and database skills including experience designing, implementing and maintaining basic document formats and ability to type 60 wpm
- Demonstrated good organizational and problem-solving skills
- Demonstrated familiarity with current environmental issues
- Ability to deal tactfully and effectively with staff, volunteers and the public.
This position is represented by a collective bargaining unit and is subject to the terms and conditions of the contract between Sierra Club and Sierra Employee Alliance.
