The Facilities and Administration Department is seeking a Deputy Director to focus on institution-wide projects spanning NRDC’s growing workplace profile of 600+ staff. The successful candidate will have excellent data and financial analysis and strong written and verbal communication skills (including the ability to interface with staff and senior leaders), enjoy consensus-based decision-making, and will take a flexible, innovative approach to his or her work in order to enable the success of NRDC’s programs. The Deputy Director will co-manage as the #2 within the Facilities and Administrative department and have primary responsibility for company-wide procurement, corporate travel, corporate card, and the optimization of administrative processes. She or he will also provide key analytics support for real estate, financial, and budget analysis, and will provide management and operational support for the entire scope of the Director’s work, enabling the Director to focus more attention on long-term planning and strategy. The Deputy Director will report to the Director of Facilities and Sustainability Programs based in the NY Office, will collaborate with the Sustainability Manager and Senior Facilities Managers on projects as necessary, manage and mentor an administrative assistant.
- Operational support for the Director of Facilities and Sustainability Programs on the entire scope of Facilities and Administration, enabling the Director to focus more attention on long-term planning and strategy.
- Program management of all ongoing Administrative initiatives including, but not limited to:
- Procurement of energy, office services, equipment and supplies, including selection of vendors, contract negotiation, and ongoing management in line with best practices for environmental non-profits
- Roll-out and management of supplier diversity and ethical sourcing initiatives
- Manage corporate travel program include optimization of online travel booking tool
- Manage corporate card including evaluating best practices (and card programs) for the institution.
- Workspace and meeting management systems
- Document management systems
- Roll-out and manage business continuity across the organization
- Optimization of processes both within Facilities and Administration and those serving the institution as a whole.
- Planning and analysis support for facilities and administration projects across all NRDC offices including:
- Financial analysis
- Forecasting and scenario analysis support for NRDC’s real estate planning
- Budget analysis
- Communications for administration initiatives related to procurement, partnerships, etc., and white papers, blogs, and training materials.
- Other projects as assigned.
Timely completion and attention to detail are expected in carrying out these tasks, as is the ability to make decisions and assess situations with the "big picture" in mind. The Deputy Director must work well under pressure and respond to dynamic requests and issues in a calm and professional manner.
- College degree in finance, economics, business administration, and/or sustainability management.
- Master’s degree in one of the above areas of study preferred.
- 8-10 years of project and program management experience.
- Outstanding interpersonal, communication and organizational skills.
- Must like to work collaboratively, manage a heavy and diverse workload and independently execute duties.
- Demonstrate ability to work effectively on multiple projects simultaneously, set priorities, organize time, and identify resources for projects as needed.
- Power user of Excel, databases, PowerPoint, collaborative online tools and electronic communication.
- Experience working with environmental and/or social issues, including renewable energy, sustainable procurement, carbon accounting preferred.
