The Events Manager is responsible for providing event coordination and general administrative support to the fundraising staff of the Maine Chapter of The Nature Conservancy. They are responsible for planning and executing events and field trips, as well as managing administrative and data entry duties related to the events.

Areas of Responsibility: 

The Events Manager is responsible for planning and executing an annual calendar of events that advances the development team’s goals and engages a variety of donor audiences, including major donors, planned giving donors, and young philanthropists. Their responsibilities include managing all logistics of special events, from idea, to execution and follow up. They are responsible for creating and managing event timelines and supporting materials such as invites and inserts, tracking RSVPs, setting and managing a budget, and working with vendors. They are responsible for the tracking and reporting of key data related to the events, including conducting attendee surveys. The Events Manager must be well-versed in the systems and resources utilized by the development team and be able to effectively communicate and distribute information. The Manager may have substantial contact with staff and donors. They will provide other staff with information they need to make decisions, participate effectively in events, and have meaningful interactions with event attendees. They will perform administrative functions related to events as well as admin support of the entire development team when needed. The Events Manager will also be responsible for developing a strategy around the engagement of younger donors and families, which may include working with colleagues to identify and connect with key donors and prospects in this audience.

RESPONSIBILITIES AND SCOPE

  • Develop and execute the development events calendar to meet chapter goals and priorities with input from fundraising, conservation and leadership staff.
  • Support other chapter events with logistical arrangements, such as World Fish Migration Day and board meetings.
  • Work with the communications and marketing department to create event invitations and other materials.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Coordinate projects with several variables, work within a defined timeline and budget.
  • Does not supervise any staff, but may supervise interns, volunteers, and/or temporary staff.
  • Financial responsibility may include creating and working within a budget, purchasing, processing invoices, and contracting with vendors.
  • Refer difficult questions and unusual problems to supervisor.
  • Work overtime, evenings and weekends, as needed.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
  • Develop proficiency in the use of the development database software in order to run or create reports, mailing lists, and enter event data.
  • Assist with other departmental projects as assigned.
Educational Background: 
Bachelor’s degree and 2 years’ experience or equivalent combination.
Skills/Experience: 
  • Experience planning events and/or field trips.
  • Experience building relationships with staff, customers, vendors, or similar.
  • Experience generating reports and interpreting data.
  • Experience working across teams.
