The Legal Data Resource Center (LDRC) Documents Coordinator is responsible for coordinating legal land/water protection documentation, which includes TNC’s corporate files for protection activity and the LDRC land protection filing system and archiving processes. 

Areas of Responsibility: 

The Legal Documents Coordinator is responsible for maintaining the Legal Link file tracking database, including data entry and reporting. They work with Legal Resource offices to ensure all documents are sent to LDRC in a timely manner. They maintain LDRC physical and electronic files for projects and transactions. They assist Worldwide Office, Legal Resource and Business Unit staff with document retrieval and questions pertaining to land/water protection documents and files. They also function as Office Coordinator for LDRC and as such coordinate the purchase of supplies and equipment, may perform accounts payable functions, schedule and coordinate logistics for special events and meetings, and coordinate mail distribution. The Coordinator also works with the Legal Function HR Coordinator regarding HR matters involving interns, volunteers and temporary employees. They perform Information Technology liaison duties, including interfacing with IT staff and troubleshooting computer and printer problems for LDRC. The Legal Documents Coordinator assists with the recruitment and training of program volunteers and interns and coordinates the activities of volunteers and interns. They also provide training for temporary staff. Responsibilities include access to and management of highly confidential information.

RESPONSIBILITIES AND SCOPE

  • Maintain restricted and highly sensitive information.
  • Quality control and management of physical and electronic files for projects and transactions.
  • Does not supervise any staff, but may supervise volunteers, interns, or temporary staff.
  • Duties are performed under general supervision and established guidelines.
  • Financial responsibility may include purchasing, processing invoices, and assisting with budget tracking.
  • Identify routine problems and utilize existing resources for resolution, refers difficult questions and problems to supervisor.
  • Make day-to-day decisions within the scope of work assignments and prioritize work independently.
  • Serve as a team member for assigned projects.
  • Read and interpret legal real estate documents.
  • Develop and implement appropriate filing systems for legal documents and reports.
  • Coordinate LDRC volunteer program.
  • Be willing to travel, work overtime, and work evenings and weekends as needed.
Educational Background: 
Bachelor’s degree and 1 year experience or equivalent combination.
Skills/Experience: 
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience performing one or more administrative processes.
  • Experience working and communicating with a wide range of people.

DESIRED QUALIFICATIONS

  • Database skills, including navigating, populating and tracking data, and producing reports.
  • Ability to analyze information for the purpose of preparing reports, coordinating activities, and solving problems.
  • Ability to apply research skills, including ability to obtain information from the Internet.
  • Ability to write and edit written materials for use with program communications and special events.
  • Experience in MS Office software, including Outlook calendars, Word, Excel and SharePoint.
  • Working knowledge of legal real estate practice.
  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated.
  • Excellent customer service skills and focus.
  • Experience, coursework, or other training in database administration, database management, data analysis, library science, real estate, information technology, GIS, or other relevant field.
  • Strong organizational skills and attention to detail.
