We are looking for a Coordinator, Regional Operations to join the Institutional Advancement team- the team charged with ensuring that Teach For America New Jersey has the resources, people, and culture it needs to thrive. In this role, you will report to the Manager, Strategy, Talent and Operations and work closely with the Executive Director to provide essential execution and administrative support. The ideal candidate is energized working behind-the-scenes, is an overall positive presence in the workplace and has a genuine desire to help others. Attention to detail is critical in this role, so given the stakes, you will ensure no ball is dropped and you are able to manage multiple systems, projects and deadlines simultaneously. This is an exciting opportunity for someone looking to understand the inner workings of a dynamic nonprofit, collaborate across multiple teams, and seeking to learn, hone and master key operational skills such as budget tracking, facilities management and maintaining a positive office culture.
Operations and Systems (30%)
- Serve as primary liaison for National Admin and IT teams - facilitating day-to-day administrative needs such as emergency management protocols, managing office space needs, shared space lease agreements and troubleshooting team internet and tech issues
- Serve as primary liaison for co-located partner organization - manage orientation and space needs, renewals, and invoicing
- Support budget planning across teams through monthly expense tracking, processing invoices and reimbursements, completing corporate card expense reports for functional team leads and Executive Director
- Manage the reception area and provide exceptional customer service to on-site visitors, external partners, local vendors and staff
- Maintain office operations by stocking supplies and inventory, receiving package deliveries, managing incoming & outgoing mail distribution and bringing innovation to organizational systems and technology
- Shape office policies and norms, liaise with building management for office maintenance, and provide light physical office space support as needed
Partnerships Support (30%)
- Serve as AmeriCorps Manager for the NJ team
- Implement system to facilitate compliance with National AmeriCorps program by communicating process and expectations to corps members and staff and maintaining accurate records to track completion
Executive Director Support (20%)
- Provide ongoing executive support including calendar management and scheduling, arranging travel, and processing expenditures for the Executive Director
- Assume a proactive role in increasing the efficiency and organization of the Executive Director
- Act as a liaison between Executive Director and external constituents, such as board members, community partners, corps members, and alumni
- Provide logistical support for regional board meetings and retreats
Team Culture and Communications (10%)
- Foster a positive team culture through implementation of initiatives that ensure all team members feel welcomed and valued and support relationship-building (e.g. milestone and birthday celebrations, team recognition, play, etc)
- Collaborate with Manager, STO to plan impactful staff retreats, celebrations, and team meetings (includes logistics, meals, technology and materials)
- Contribute to the vision and execution of New Jersey’s social media strategy
Regional Team Responsibilities (10%)
- Participate in regional and team activities, including corps member selection and onboarding, all-staff meetings, professional development, functional team meetings and retreats
- Provide logistical support for regional programs such as major fundraising or partnership events
- 1-3 years professional experience, preferred but not required
- Preferred experience in administrative or operational support role
Work Demands
- Ability to work occasional evening and weekends
- Ability to work out of our Teach For America - New Jersey (Newark) office required
- Occasional travel to Camden office
