The Coordinator of Development Operations is a key member of the regional Development Team, providing critical capacity in team operations and managing our regional AmeriCorps partnership. The Coordinator, Development Operations will report directly to the Development Director, but will work with various individuals from across the team as well as external constituencies. You will laterally manage, collaborate, and build relationships with various regional teammates to ensure that corps members’ experience with AmeriCorps is seamless, compliant, and enjoyable.
The Coordinator, Development Operations will:
Manage AmeriCorps Partnership (40%)
- Provide Milwaukee corps members, alumni, and regional and national Teach For America staff with timely, accurate information regarding AmeriCorps as requested or required, such as:
- Read and confer with manager in completing action items contained within Serve Wisconsin communications and emails from staff
- Read and confer with manager to complete and manage requests from Teach For America National Public Partnerships liaison
- Communicate directly with corps members when they have any questions related to AmeriCorps such as documentation, inaccuracies, troubleshooting with lending institution regarding student loan deferral, using their education awards for graduate programs, or other matters as they arise
- Attend the Annual Central Region National Service Training and all meetings, trainings and events hosted by Serve Wisconsin including but not limited to AmeriCorps Opening Day, Program Director Trainings, monthly conference calls, and annual site visits
- Plan and execute all AmeriCorps mandated service days, register projects with CNCS, and provide service day reports
- Oversee eGrants, OnCorps, and Placement Tracker member file systems, managing the member roster, enrollment and exiting, document collection, and filing, including tracking corps members’ AmeriCorps service hours, services sites, status, and regularly entering data to maintain accuracy of all records and to maintain compliance
- Complete Corps Member State, FBI, NSOPW and WCCA background check processes and Citizenship and Social Security verification prior to member enrollment, conducting each check compliantly including filing and verifying all member results
- Participate in Regional Induction and August Orientation to support incoming corps members’ AmeriCorps onboarding through preparing the AmeriCorps Orientation training and collecting and filing all necessary paperwork in member files
- Leverage relationships across the Milwaukee Regional Team, primarily the Program sub-team, to ensure compliance and maximize program results
Manage Development Operations and Provide Administrative Support (40%)
- Assume a proactive role in increasing the efficiency and organization of the Development Team
- Maintain a comprehensive fundraising database (Salesforce) that includes accurate donor information (background research, biography, giving history)
- Utilize Salesforce to efficiently track all communications, maintain meticulous records of donor engagement and provide team with progress to goal and benchmark information
- Own cash collection systems and processes, including pledge reminders, quarterly cash targets and reconciliation in database
- Prepare meeting packets, toolkits and mailings
- Prepare and support the team to execute actions in line with the strategic and operational plans as well as monitor progress against plans (i.e. prepare meeting briefs and materials, capture meeting downloads, prep donor follow-up, draft correspondence, track task completion, etc.)
- Support the team in planning and running inspiring donor events and schools visits including: managing logistics and preparation, creating and compiling materials, and managing execution of follow-up activities
- Conduct research to identify potential donors to add to donor prospect list, specifically looking for evidence of whether a prospect is mission-aligned, has capacity to contribute and whether there are existing connections to leverage
Manage Written Fundraising Communications (10%)
- Assist in writing and submitting regional grant proposals and reports to corporations and foundations to secure local funding
- Manage regional communication tool that centralizes stories and data to help share Teach For America’s work with external audiences
- Maintain external communication with local supporters by compiling information to create and send a quarterly newsletter, mailing holiday cards, and creating “thank you” communication
Milwaukee Regional Team Responsibilities (10%)
- Meet submission requirements for reimbursements (monthly), timesheets (weekly), and American Express reports (monthly, as needed) to support the organization’s financial standing
- Support and participate in regional events and meetings
- Participate in regional professional development program (Elevate) and drive your own leadership development with support from your manager
- Contribute to organization learning by effectively tracking work and results, capturing insights, and sharing outcomes to contribute to collaborative learning
- Understand and effectively communicate Teach For America Milwaukee’s programmatic initiatives, goals, and impact externally and internally
- Two or more years of work experience highly preferred
- Previous experience with AmeriCorps preferred
- Experience planning and implementing robust organizational systems, such as complex record-keeping or digital tracking required
- Proficiency in Microsoft Excel required
- Experience with SalesForce preferred, but not required
- Superb attention to detail, particularly related to compliance

Work Demands
- Willing to work occasional weekend or evening work hours required
- Ability to occasionally travel independently across Milwaukee for work (i.e. school visit)
- Willing and able to travel regionally and/or nationally 4-6 times per year for AmeriCorps gatherings and professional development purposes
