The Events and Stewardship Coordinator is responsible for the development and implementation of cultivation tactics and donor stewardship and recognition programs for The Nature Conservancy in Tennessee.  The primary objective of this position is to proactively enhance the engagement of existing and prospective donors that ensures readiness to give a first major gift or to continue and increase their major giving to the Conservancy.

Areas of Responsibility: 

The Events & Stewardship Coordinator will be responsible for scheduling, organizing and coordinating donor engagement events in concert with the fundraising team.  The coordinator will also draft donor correspondence and acknowledgements while maintaining the records associated with cultivational and fundraising events and analyzing and reporting the results. The position will also be responsible for developing and implementing a program of donor stewardship activities and communications designed to further engage donors and prospects.

RESPONSIBILITIES AND SCOPE 

SPECIFIC:

  • Working with fundraisers to use strategic events and cultivation tactics to strengthen the prospect pipeline for increased major support of Tennessee and global TNC priorities. 
  • Developing and managing timelines for fundraising events and ensuring adherence to deadlines.
  • Engaging and managing vendors and contracts.  Tracking and working within an expense budget.
  • Providing regular updates to Director of Philanthropy and fundraisers on progress of event registration, including attendance of key donor prospects.
  • Maintaining, tracking, and reporting on fundraising progress for all major events, as well as issuing final expense, revenue and event debrief reports.
  • Utilizing donor database and other technology to track invitations, attendance, RSVPs, table/seating arrangements.  The Events Coordinator will also be cross-trained on queries and reports from the donor database. 
  • Managing event day logistics.   
  • Planning and managing the yearly portfolio of cultivational field trips.
  • Develop and implement a program of donor stewardship activities and communications.
  • Working with chapter leadership to design and implement a consistent and inspiring recognition program.
  • Addressing other activities as assigned.

GENERAL:

  • Work within scope of program’s strategic goals.
  • Act independently on assigned tasks and exercise independent judgment based on analysis and experience.
  • Refer difficult questions and unusual problems to supervisor.
  • Coordinate projects with several variables, work within a defined timeline and budget.
  • Does not supervise any staff, but may supervise volunteers.
  • Ensure compliance with TNC policies and procedures, and external (donor/legal/IRS) requirements.
  • Financial responsibility includes working within a budget, processing invoices and contracting with vendors.
  • Demonstrates common sense, flexibility and teamwork.
  • Occasionally travel and work flexible hours, including evenings and weekends.
  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
  • Work is diversified and may not always fall under established practices and guidelines.
Educational Background: 
Bachelor’s degree and 2 years of experience or equivalent combination.
Skills/Experience: 
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience with database systems and spreadsheet software.
  • Experience working across teams.
  • Experience, coursework, or other training in fundraising principles and practices.
