The Executive Administrative Assistant supports the office in every way: all scheduling of meetings, juggling priorities, handling travel, managing presentations and maintaining correspondence and follow ups.
Areas of Responsibility:
- Manage the daily schedule of the Senior Vice President, Global Engagement, juggling priorities and relentless meeting requests and rescheduling with a cheerful and professional demeanor (40%)
- Serve as ‘front office’ for the SVP, helping to set upbeat and solutions-oriented tone (15%)
- Arrange all travel for the SVP, including extensive international travel, and coordinate as necessary with other senior team EAs. (20%)
- Prepare briefing documents for all speaking engagements and presentations (15%)
- Ensure the SVP is prepped for every meeting with agenda, reference materials, etc. (5%)
- Help with general organization: keeping up with correspondence, filing expense reports on a timely basis, etc. (5%)
Educational Background:
Bachelor’s degree preferred.
Skills/Experience:
- 4+ years experience as an Administrative Assistant is required. Prior experience with organizing international travel is a plus
- All basic office programs, including Microsoft Word and PowerPoint/Keynote, Google Docs, and prior knowledge of NGS systems is helpful.
- Ability to manage confidential and propriety information.
- Excellent writing and communication skills.
