Support Coordinator, Movement Services

The Support Coordinator will provide support to Movement Services, Movement Advancement, Research, Insights and Analytics departments as well as Service Delivery Partner Ys, Alliance Partners and Thought Leader Cohorts. This position may be supported with grant funds as necessary but is not a grant funded position and is based in Chicago.

Areas of Responsibility: 

Serve as a valued contributor within a cross functional team, which provides support throughout our Y network focused on advancing our Y mission and provides seamless service and expertise to a variety of network partners. The content and information shared within this position is of a highly confidential and complex nature where trust and accuracy are vital, and knowledge of the organization, policies, procedures and mission are essential.

Business/Finance: 

  • Process General Journals on behalf of the departments
  • Reviews Financial Statements and run financial reports for department leaders
  • Forecast Accruals for departments
  • Work with Accounts Payable to ensure timely payment processing
  • Work with Accounts Receivable to ensure payments are credited to the appropriate accounts
  • Reconcile financials statements each month
  • Process Cash Receipts as needed
  • Process and initiate Contracts with third party vendors

Events & Meeting Preparation:

  • Reserve and set up space/venue
  • Coordinate meal options
  • Provide requested resources and materials
  • Assist with agenda, schedule and communication
  • Secure the appropriate technology needs
  • Provide “day of” support as necessary
  • Deliver high quality service to both internal and external participants

Research, Analytics & Technology:

  • Prepare, launch and share surveys
  • Prepare and share statistical reports
  • Maintain information management systems for tracking and future data retrieval
  • Ability to use and understand value of various software systems

Y Network:

  • Confident in understanding and interacting within the network
  • Familiar with the service system workflow
  • Role models the discovery process in daily engagement
  • Seek input and perspective on process & systems for efficiency and effectiveness
  • Provide timely responses to our partners
  • Interact with Link intranet site regularly
  • Assist with educating internal and external partners about the Y network

General Admin Support:

  • Manage, organize and collect data for effective record keeping
  • Manage files for the departments
  • Calendar support for meetings and gatherings
  • Assist with mailings
  • Create documents/spreadsheets as requested
  • Assist with travel arrangements as needed
  • Demonstrate collaborative support to all partners
  • Assist and support other team members
Educational Background: 
Associate degree is preferred; high school degree or equivalent work experience is required
Skills/Experience: 
  • Minimum 2-3 years administrative support experience is required, working for multiple leaders on various projects is preferred
  • Demonstrated ability to learn working with proprietary computer systems and complex data systems
  • Advanced skills in MS Office (Word, Excel, Access, PowerPoint, Outlook, Teams) and ability to learn new software such as Qualtrics, Taleo, Esri and others
  • Ability to exercise excellent judgment in handling confidential matters
  • Demonstrated excellent verbal, written and interpersonal communication skills.
  • Demonstrated outstanding attention to detail and organizational skills
  • Demonstrated ability to manage multiple deadlines, multi-task, prioritize, problem solve, and escalate issues to the proper individual when necessary
  • Knowledge of budgeting, general accounting principles and experience with accounts payable/receivable and financial statements is preferred
  • Demonstrated ability to work independently and with a team that includes remote staff
  • Demonstrated ability to convey a positive and professional image to all levels of Y-USA employees, visitors, external partners and vendors
  • Ability to travel approximately 5% of the time is required

Compensation/Benefits: 

Salary: $49,000.00 - $52,000.00
