The Richmond Office Program Coordinator will provide a full range of administrative and program support to the staff of The Nature Conservancy’s Richmond, Virginia Office.
The Program Coordinator is responsible for performing multiple administrative functions related to the assigned program. S/he may be responsible for coordinating logistics for visitors and/or meetings in the Richmond office, purchasing office supplies, central filing, mailroom operations, facility management, telecommunications, and reception. In addition, the Coordinator may perform Information Systems, Human Resources, and Finance administrative tasks, including processing forms, preparing reports, and monitoring budgets. Financial responsibilities include processing office expenses, check requests, and monitoring the Richmond office budget. S/he applies established processes and practices in order to improve effectiveness and documents program procedures for reference by staff. The Coordinator may handle inquiries about business unit activities and assist in the development of program materials and correspondence. S/he will work cooperatively with Conservancy staff, providing information necessary to make decisions and solve problems. The Richmond Program Coordinator will serve as the office Key User (a liaison between the program office and the Worldwide Office Technology and Information Systems (TIS) Department). Responsibilities include maintaining critical TIS functions such as network data backup, serving as first-response for technical issues, working with TIS staff to implement new products and software, and system inventory tracking.
RESPONSIBILITIES AND SCOPE
- Does not supervise any staff, but may help plan and direct the work of volunteers or interns;
- Prioritize tasks in the absence of specific instructions and make day-to-day decisions within the scope of work assignments; duties are performed according to instructions or established practices and supervisor will resolve any problems or questions;
- Maintain limited financial responsibility, which may include processing invoices, preparing accounting forms, purchasing, or creating travel expense reports;
- May serve as a team member for assigned projects;
- Work overtime as needed;
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain
- Experience managing diverse activities to meet deadlines;
- Experience providing administrative support, including some or all of the following: phones/customer service, mail distribution, equipment maintenance, coordinating travel arrangements and meetings, or organizing files;
- Experience working and communicating with a wide range of people; and
- Experience writing, editing, and proofreading written materials.
