The Manager of Program Operations is a key member of the regional Program Team providing critical capacity in team operations and managing our regional AmeriCorps partnership. You are committed to continual learning and improvement and you love to get stuff done. The Manager, Program Operations reports directly to the Vice President, Program.

Areas of Responsibility: 

Program Operations (40%)

  • Oversee and plan the logistics for large-scale member facing program events (Induction, August Training, annual welcome event, etc.); execute on strong project plans while operating within budget.
  • Provide logistical support for internal team meetings, retreats, and celebrations.
  • Lead team members in the upkeep of all corps member and alumni data systems, including corps retention tracking, in collaboration with other teams across the region.
  • Coordinate the process to ensure that all Public Service Agreements with school and district partners are up-to-date, signed, and meet all of the compliance expectations outlined by our National team. This may include drafting, tracking progress to ensure all agreements are signed, and record-keeping, working in coordination with the Vice President, Program and City Team Leads.

AmeriCorps Partnership (40%)

  • Steward the relationship with the Connecticut Commission on Community Service (CCCS), including timely response to CCCS communications, event attendance, and abiding by all program requirements.
  • Attend the Annual Atlantic-Southern Region National Service Training Conference and all meetings, trainings, and events hosted by the CCCS including but not limited to the AmeriCorps Launch Day, Program Director Trainings, online trainings, AmeriCorps week, and monthly conference calls. 
  • Host CCCS for annual site visit and meetings, as requested.
  • Plan and execute all AmeriCorps mandated service days, including MLK Day of Service, register projects with CNCS, and provide service day reports.
  • Maintain relationship with national AmeriCorps Manager and meet all internal AmeriCorps deadlines as specified by the national AmeriCorps Manager and/or Public Partnerships team including annual file audits and communications with corps members.
  • Oversee eGrants, OnCorps, and Placement Tracker member file systems, managing the member roster, enrollment and exiting, document collection, and filing, including tracking corps members’ AmeriCorps service hours, services sites, status, and regularly entering data to maintain compliance and accuracy of all records.
  • Complete Corps Member State, FBI, and NSOPW background check process and Citizenship and Social Security verification prior to member enrollment, conducting each check following the CCCS compliant process and instructions, filing and verifying all member results.
  • Support grant proposal process, including assisting with grant application, completing grant paperwork, and submitting all grant deliverables.
  • Participate in Regional Induction and August Orientation to support incoming corps members’ AmeriCorps onboarding through preparing the AmeriCorps Orientation training and collecting and filing all necessary paperwork in member files.
  • Provide ongoing support and customer service for TFA AmeriCorps corps members and alumni, and monitor regional AmeriCorps email inbox.
  • Maintain AmeriCorps branding requirements, ensuring proper logo placement on our materials, purchasing and distributing items such as pins, hats, signs, and shirts to corps members, and posting AmeriCorps highlights on our social media sites.
  • Leverage relationships across the Program Team, primarily the city sub-teams, to ensure compliance and maximize program results. 

Vice President Support (10%)

  • Manage the VP, Program’s calendar, and discuss scheduling priorities on a weekly basis.
  • Complete monthly AMEX reports on behalf of the VP, Program.
  • Support with special projects as requested to advance program team priorities.

Regional & Organizational Stewardship (10%)

  • Meet all expectations to support regional financial stewardship: reimbursements (monthly), timesheets (weekly), and AMEX reports (monthly, as needed).
  • Support team-wide goals for Connecticut and National strategic direction through participation in corps member recruitment, selection and matriculation, regional events and programming, team meetings, and participation in city-based events when assigned and applicable.
  • Participate in regional professional development program (Elevate) and drive your own leadership development with support from your manager.
  • Serve as ambassador of Teach For America’s mission, core values, and regional plan in Connecticut.
  • Contribute to organization learning by effectively tracking work and results, capturing insights, and sharing outcomes to contribute to collaborative learning.
  • Participate in other regional initiatives and projects as assigned.
Educational Background: 
Bachelor’s degree required
Skills/Experience: 
  • Minimum of 2 years of related professional work experience preferred
  • Prior experience in the corps or in a school setting a plus
  • Ability to thrive in a goal-oriented, fast-paced, and entrepreneurial environment, including the ability to be flexible in project execution
  • Demonstrate exceptional professionalism, poise, and judgment at all times
  • Exceptional level of detail orientation and is able to keep track of multiple details and projects with many moving pieces simultaneously
  • Has strong customer service orientation and is eager to seek out answers to challenges in order to set others up for success
  • Is highly motivated by support work and understands how the role contributes to the broader team’s effectiveness
  • Skilled communicator both verbal and written; able to communicate clearly and compellingly across a variety of audiences

Work Demands

  • Some weekend and evening work required
  • Must work from regional office during regular business hours Monday through Friday
  • Assigned work location is our regional office located in New Haven, Connecticut. Ability to work remotely is determined at the discretion of your direct manager and Executive Director.
  • Willing and able to travel regionally and/or nationally 2-3 times per year for professional development purposes.
