As the Manager, State Director’s office you will report to and work in close collaboration with the State Director and serve as a thought partner to the State Director and, ideally, execute on the chapter’s vision by attracting, shepherding and deploying the necessary resources while working closely with a multitude of stakeholders including the chapter’s management team, board of trustees and the internal TNC network as well as external vendors and partners. The Manager for the State Director’s office performs a variety of high-level administrative tasks in support of the CT State Director We appreciate collaborative approaches and encourage innovative ideas and recommendations. These tasks include general support and administrative (travel arrangements, scheduling, general organization) as well as serving as the primary liaison to the Board of Trustees and completing/contributing to specific written communications efforts. These duties are highly confidential and require comprehensive knowledge of TNC’s policies, procedures, and operations. Frequent interaction is required with all members within the organization as well as trustees, donors, vendors, and business relations. In addition, s/he will also assist the Director of Philanthropy in the coordination of the campaign.
- Serves as the primary liaison between the State Director and the Board of Trustees
- Scheduling and overseeing quarterly Board meetings
- Supporting the Board Chair with communications to the Board and meeting organization
- Disseminating Board minutes, agenda, and all other supporting materials, and acting as a resource to the Trustees and staff regarding Board business
- With Director of Philanthropy, maintain frequent contact with staff and campaign counsel to preserve momentum, review strategy, and implement decisions
- Manages consultant and consultant activities, including all inquiry responses, Committee and donor meetings schedules, weekly conference calls, follow-up, contracts and payments
- Set up and manages budget, including revenue tracking with Finance Director and expenses with Director of Philanthropy.
- Supervises, sets up and coordinates all meetings and meetings follow-up, including meeting sites, driving directions, minutes, communications and logistics.
- Manages and maintains all files, reports and documentation. With Director of Philanthropy. set up and maintains all timelines, org charts and Committee JDs.
- In conjunction with the State Director, manage the coordination of the Management Team, including scheduling and project management
- Perform a variety of high-level administrative tasks, including domestic and international travel arrangements, meeting and special events logistics, calendar management, drafting correspondence, and processing expenses.
- May act as a resource to others to solve problems and act in supervisor’s stead when instructed
- Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.
- Decisions may bind the organization financially or legally.
- Ensure programmatic commitments, TNC policies and procedures, financial standards, and legal requirements are met and managed for compliance.
- Financial responsibility includes working within a budget, and negotiating and contracting with vendors.
- Implement and manage new initiatives that will ensure department and organization-wide goals and strategies are achieved.
- Manage functional activity towards program’s strategic goals.
- May participate in complex negotiations.
- May supervise administrative, professional and/or volunteer staff, responsibility includes training and professional development.
- Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs
- Travel occasionally, work long and flexible hours as needed.
- Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain.
- Work is diversified and may not always fall under established practices and guidelines.
